- This role is responsible for providing comprehensive, confidential administrative support, including extensive calendar management, to senior management and their teams. The individual in this position serves as an integral member of the team, partnering closely with colleagues while supporting executives and contributing to the overall effectiveness of the group. Key responsibilities include managing day‑to‑day administrative needs, coordinating complex travel arrangements, processing expenses, gathering and reporting information for executives, and handling incoming correspondence. The role may also involve supporting the planning and execution of in‑person meetings, off‑sites, and events. Success in this role requires a collaborative, team‑oriented mindset, the ability to manage multiple priorities, balance competing deadlines, and support differing objectives and projects—all while operating in a responsive, professional, and personable manner.
Responsibilities:
- Communicates with executives and line management to gather and convey relevant information
- Proactively manages the calendar of multiple executives, effectively resolving conflicts that arise in a professional manner
- Arranges and handles details related to travel arrangements, expense reports, meetings, and appointments
Qualifications
- 5+ years of administrative experience, preferably supporting senior leaders within a team‑based environment
- Demonstrated experience partnering with executives and broader teams, contributing as a trusted, collaborative team member
- Advanced proficiency with Microsoft Outlook and the MS Office Suite, including Excel, PowerPoint, Word, Teams, Zoom, WebEx, SharePoint, and Skype
- Proven ability to coordinate meetings and logistics across multiple teams and organizations, ensuring seamless execution
- Strong relationship‑building skills with the ability to work effectively with diverse personalities, working styles, and seniority levels
- Highly detail‑oriented with excellent organizational, time‑management, prioritization, and multi‑tasking skills in fast‑paced, team‑driven environments
- Ability to remain flexible, responsive, and effective while supporting competing priorities and shifting team needs
- Working knowledge of Concur and GEP SMART, along with strong proficiency in Outlook, Word, PowerPoint, and Excel
- Polished, professional communicator in both written and verbal (phone and email) interactions, representing the team with professionalism
- Proactive problem‑solver with a strong sense of ownership, accountability, and collaborative work ethic
