Job Summary
The Assistant Manager manages the day-to-day operations of the Firm’s ebilling function for all firm offices. The Assistant Manager will manage the ebilling team members to support the Billing and Collection teams in their ebilling work. This position provides superior internal and external client customer service while adhering to firm and client policies and Outside Counsel Guidelines. The Assistant Manager also supports client and partner onboarding activities, including new client ebilling onboarding, conversions to new ebilling systems, and ongoing administration of third-party ebilling platforms, ensuring work is properly allocated and completed in a timely and accurate manner.
Job Responsibilities
- Manages the ebilling team, including supervising daily activities, managing schedules and workloads, preparing performance evaluations, and conducting evaluation reviews and other performance related discussions.
- Provides training and day-to-day guidance to the Ebilling, Billing, Collections teams and other internal clients on ebilling processes.
- Assesses ebilling process and procedures to identify workflow issues, training needs, and opportunities for improvement.
- Develops solutions to reduce internal work cycles or eliminate electronic billing inefficiencies by implementing ebilling best practices.
- Prepares and maintains weekly Ebilling Status Report (ESR) including related follow ups and escalations.
- Utilizes ESR to analyze trends and identify areas of concern. Resolves issues between external clients, internal clients and ebilling systems (eBillingHub & client vendor sites). Escalates material/aged rejections to Senior Manager of Compliance and Billing Leadership.
- Enhances existing reporting and develops decision-useful reporting to help expedite billings and collections activities.
- Analyzes and reconciles the firm’s billing system and third-party ebilling systems. Responsible for eBillingHub and vendor ebilling site administration.
- Manages onboarding of lateral partners’ ebilling clients, ensuring a smooth transition and providing ongoing oversight until workflows are stable and processing efficiently. Manages new client ebilling onboarding, conversions to new ebilling systems, new matter setup, timekeeper approvals, matter budgets, and appeals process.
- Reviews Outside Counsel Guidelines, assesses electronic billing requirements, and communicates requirements to the Billing team and other parties for accurate submission of electronic invoices.
- Creates and maintains process documentation for procedures related to ebilling.
- Audits and monitors the payment of fees associated with the ebilling vendors.
- Ensures adherence to ebilling deadlines for all offices. Follows up with ebillers regarding pending issues and communicates with Senior Manager regarding areas of non-compliance.
- Collaborates with Rates and Billing Compliance team to administer the firm’s annual rate increase projects.
- Collaborates with cross-team Managers on department projects and assignments.
Knowledge, Skills, and Abilities
- Demonstrated advanced knowledge of Elite 3E or other similar accounting system with the ability to instruct others in its use.
- Advanced knowledge of leading third-party ebilling platforms.
- Experience leading and developing a team of ebilling coordinators.
- Demonstrated ability to communicate clearly and effectively, both orally and in writing, with attorneys, staff, vendors, and client contacts.
- Demonstrated ability to independently organize and prioritize highly detailed work in a dynamic and complex environment to meet deadlines and daily requirements.
- Demonstrated ability to provide quality customer service to both internal and external contacts regarding billing or other financial matters.
- Demonstrated high proficiency in Microsoft Excel and other Microsoft suite applications.
- Ability to exercise considerable independent judgment, tact, and initiative in resolving problems and handling confidential matters.
- Ability to understand and enforce client service standards and expectations within a law firm and/or professional services environment.
- Demonstrated knowledge of accounting concepts and procedures.
- Must be detail-oriented and demonstrate a commitment to accuracy and thoroughness.
Education
A bachelor’s degree in accounting or finance is required.
Experience
The position requires a minimum of five (5) years of progressive experience in ebilling that including experience coordinating work, training others, providing workflow oversight, or the direct supervision of others. Experience in a professional services organization is preferred.
Pay Range
$115,000 to $150,000
Our Firm is committed to fair and equitable compensation practice in accordance with applicable laws. Additional compensation may include a discretionary bonus. The salary for this position may vary based on location, market data, an applicant’s skills and prior experience, certain degrees and certifications, and other factors.
