Are you a highly organized administrative professional who thrives in a fast-paced environment? We are seeking an experienced Administrative Assistant to support our Property Management team. This role is essential to ensuring the smooth operation of our commercial real estate portfolio by providing administrative, operational, and customer service support to Property Managers and Regional Property Managers. What You'll Do As an Administrative Assistant, you will: Provide day-to-day administrative support to Property Managers and Regional Property Managers. Manage incoming and outgoing correspondence, including tenant communications, notices, and general office documents. Serve as a professional point of contact for tenants, vendors, and internal teams by answering and directing phone calls. Assist with rent collection activities, tenant correspondence, and maintenance of collection records. Maintain accurate electronic and hard-copy filing systems and property records. Prepare, edit, and distribute property management documents, including contracts, bid summaries, change orders, and reports. Coordinate vendor onboarding and ensure proper documentation is received, including insurance certificates and W-9s. Process work orders and communicate with vendors regarding service requests and project updates. Track and manage tenant and vendor insurance certificates, sales reports, warranties, and related documentation. Schedule meetings, coordinate calendars, arrange travel, and support special projects. Provide administrative support across departments as needed. Identify opportunities to improve administrative processes and enhance departmental efficiency. What We're Looking For Required Qualifications High School Diploma or GED. 3–5 years of administrative support experience. Strong organizational skills with the ability to manage multiple priorities and deadlines. Excellent verbal and written communication skills. Strong attention to detail and accuracy. Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint. Exceptional customer service and interpersonal skills. Ability to handle confidential information with professionalism and discretion. Ability to work independently and exercise sound judgment. Preferred Qualifications Associate degree in Business Administration, Real Estate, Communications, or a related field. Experience supporting commercial real estate, property management, construction, facilities, or professional services teams. Experience with document management systems and vendor administration. Working knowledge of property management software such as Yardi. Why Join Us?
