We’re building a national home services platform that combines local expertise, operational excellence, and datadriven decision-making to improve service quality and reduce costs at scale.

The infrastructure for serving them at scale is being built right now—and the person in this role will build a defining piece of it: how thousands of homes get maintained and turned for the most sophisticated owners in the industry. Few roles offer this combination of ownership, scale, and growth opportunity.
POSITION OVERVIEW
The Institutional Property Services Manager owns Repairs & Maintenance and Turns for all of Evernest’s institutional clients, managing a team of 10–12 property services coordinators and a trade specialist. The portfolio is national, with concentration in the Southeast and Midwest.
This is not generic third-party property management. Institutional ownership means delivering against contractual SLAs that carry real financial consequences, and driving turn speed within owner approval and RFI workflows—hitting days-to-rent-ready targets while scopes route through client sign-off, not around it. You should know this world from the inside.
This is both a strategic and an operational role. You will set the direction for institutional property services—how we deliver R&M and turns at scale for sophisticated owners—while staying close to the day-to-day work. You’ll be the face of property services to our institutional clients: professional, data-fluent, and accountable for results.
The ideal candidate has deep single-family home expertise spanning construction, renovation, and repairs and maintenance; a track record of building and leading high-performing teams; and at least five years working for an institutional SFR owner or property manager.

WHAT YOU’LL DO
- Lead and Develop High-Performing Teams
- Lead, manage, and hold accountable the institutional Turns and R&M teams.
- Hire, train, coach—and when necessary, exit—team members, creating a culture of accountability, performance, and professional growth.
- Conduct regular 1:1s and team meetings to align goals, share best practices, and remove obstacles.
- Work Order Pipeline Management
- Oversee day-to-day repair and maintenance execution across the institutional portfolio, ensuring work is completed quickly, accurately, and to client specifications and Evernest quality standards.
- Deliver against contractual SLAs with financial consequences—own attainment, escalate risk early, and fix root causes before penalties hit.
- Turnover Pipeline Management
- Own the turn pipeline end to end—scoping, approvals, execution, and rent-ready handoff.
- Drive turn speed and cost—days-to-rent-ready and cost-per-turn—while operating within owner approval and RFI workflows, getting scopes approved fast rather than working around the process.
- Roll up your sleeves: walk properties, audit scopes, resolve escalations, and get your hands dirty when the situation demands it.
- Preventive Maintenance
- Develop and implement a preventive maintenance schedule to proactively address property upkeep and reduce emergency repairs.
- Vendor Management
- Source, vet, and manage relationships with third-party contractors and service providers to ensure quality work, timely completion, and cost-efficiency.
- Budget Management
- Assist in preparing and managing maintenance budgets, including approval and tracking of expenses.
- Build Processes That Scale
- Design, document, and implement processes for work order management, turn scoping, vendor coordination, and quality control that scale across thousands of homes.
- Apply strong project management discipline to large renovation and turn projects—scopes, budgets, timelines, and accountability.
- Interface with Institutional Clients
- Serve as the primary property services contact for institutional owners—leading performance reviews, reporting on portfolio health, and representing Evernest with professionalism and credibility.
- Translate client requirements into operational execution, and operational reality into clear client communication.
- Partner with Asset Management
- Work hand-in-hand with the Asset Management team on short- and long-term property needs, budget approvals, and turn prioritization against leasing and occupancy goals.
- Align with AM on capex-vs-R&M classification so spend lands in the right bucket and owners see a coherent property strategy—thinking in partnership terms, not ticket-queue terms.
- Make Data-Driven Decisions and Leverage AI
- Manage the business by the numbers—cycle times, cost per work order, cost per turn, first-time-fix rate, client SLAs—and use data to find and fix root causes.
- Actively deploy AI tools to drive the business forward: automating workflows, improving scoping and estimating, accelerating reporting, and raising team productivity.
- Strategically Drive Institutional Property Services
- Define and execute the strategy for how Evernest delivers R&M and turns to institutional clients—service standards, SLAs, cost targets, and the operating model to hit them at scale.
- Identify where the platform must evolve as institutional portfolios grow, and build the processes and team structure ahead of that growth.
WHAT WE’RE LOOKING FOR:
- 5+ years of experience working for an institutional SFR owner or institutional property manager, with at least 2 years in a supervisory role
- Direct experience delivering against contractual SLAs with financial consequences
- RFI and approval workflow fluency—you’ve lived inside owner approval workflows, you know how to write a scope that gets approved on the first pass, and you communicate cost variance before a client discovers it
- Scattered-site operations experience—managing 1,000 homes across eight zip codes is operationally nothing like managing 1,000 units in one building, and you’ve done the former
- Sound capex-vs-R&M classification judgment—you understand why institutional owners care about how spend is bucketed for accounting and NOI reporting, and you apply it consistently without being coached
- Certifications in HVAC, plumbing, or other trades are a plus
- Deep understanding of single-family homes—construction, renovation, and repairs and maintenance
- Proven experience leading and managing high-performing teams, including hiring and firing
- Strong process-creation and project-management skills—able to design systems that scale efficiently
- Data-driven decision-making—comfortable building and managing to KPIs, dashboards, and reporting
- Demonstrated use of AI tools to improve business operations, and curiosity to keep pushing what’s possible
- Executive presence—professional, polished, and credible in front of institutional clients
- Ownership Mentality – Treats the business as if it’s their own and takes full responsibility for outcomes
