
Operations Assistant
Job Description
Responsibilities
This position is responsible for performing a wide variety of operations support activities as well as handling clerical, office and administrative functions in conjunction with the general operation of a designated operational unit.
- Respond to telephone, in-person, or electronic inquiries from both internal and external customers.
- Receive and distribute all manufactured products and investigate all inventory discrepancies. Enter and maintain the data in various organizational operational and administrative software.
- Coordinate with logistics on the delivery of patient orders. Run inventory reports and make stocking recommendations and purchase needed supplies and maintain supply levels.
- Maintain departmental records including payroll, training, customer order information, delivery of tickets, proof of delivery and storage records in physical and electronic formats.
- Complete daily administrative reviews to include producing a variety of correspondence, overseeing of ordering office supplies, maintaining forms, and other required materials and processing paperwork such as accounts payable forms, purchase orders and requisitions.
- Work with a team or independently on special projects/committees as assigned.
- Patient, financial, and operational information is confidential and proprietary. Federal HIPPA laws and NYBC confidentiality requirements apply.

Qualifications
Education:
- High School Diploma or educational equivalent.
Experience:
- Two years of experience providing support to a small to medium operational unit, that includes work performing operational duties and not just administrative duties.
Knowledge:
- Knowledge of a variety of computer software applications.
- Knowledge of office management practices and procedures.
Skills:
- Cultural competency and the ability to communicate effectively in a culturally sensitive manner with both individuals and groups from diverse backgrounds.
- Attention to detail in composing/proofing all correspondence, establishing priorities, and meeting deadlines.
- Attention to detail and organizational skills.
- Demonstrate reliability and strong work ethic.

Any combination of education, training and experience equivalent to the requirements above that has supplied the necessary knowledge, skills, and experience to perform the essential functions of the job.
For applicants who will perform this position in New York City or Westchester County, the proposed hiring rate is $26.00p/hr. to $30.00p/hr. For applicants who will perform this position outside of New York City or Westchester County, salary will reflect local market rates and be commensurate with the applicant’s skills, job-related knowledge, and experience.
