What will be your responsibilities?
In his/her role, the Maintenance Planner will be responsible for:
Manage Site SAP SO’s, SO processes and Data.
- Open service orders following the process and using approved documents as per the SO process. All service orders will have estimated/or actual planned cost captured prior to the commencement of the works.
- Provide regular Age analysis reports.
- Attach document’s as per sequence of events.
- Scrutinize resource allocation planned vs actual. Report any quality deviations to senior supervisors on a daily basis.
- Capture approved intervention reports on a daily basis.
- Weekly meeting with supervisors on documentation capturing, compliance should be at 95%
- Create purchase requisitions following the procedure ensuring healthy competition amongst suppliers is promoted. Same day service for all requests.
- Update and Maintain server file(s) allocated to you at all times.
- Ensure that server is updated for all assets issued and that accountability for assets can never be disputed (signed documents)
- Participate in the development, approval, training, implementation, and review SAP processes.
Provide regular SAP financial status reports.
- PR age analysis
- Labour recovery report to be discussed with senior supervisors on a weekly basis.
- Labour recovery report to be presented to management on a monthly basis.
- Provide forecast reports on a regular basis.
Manage administrator function on site.
- Light vehicle service inspections
- Light vehicle service bookings
- Hard copy filing need to be under lock and key . Access control Participation in budgetary preparation, tracking, and analysis.
- Enters purchase requisitions for all planned services.
- SO files to be upkept and filed for archiving when SO reaches Teco status
- Container management on site is solely your accountability. Send containers to Kitwe finance department as and when required for official document storage as per the Zambian law.
Planning & Scheduling
- Run long term forecasts and identify work that needs to be planned and executed within the time frame.
- Performance expectation: To up-skill the workforce; to assist them in developing technical knowledge; Draft Budgets developed.
- Key performance indicator: Staff are competent; Backlog; Open Work Orders; Completed Work Order quality.

Continuous Improvement
- Strive to implement new tools to make the planning cycle easier and more accurate.
- Continually update processes and practices for accuracy. Ensure all documentation is clear, updated and complete.
- Performance expectations: Improvement opportunities are, captured and actioned.
- Key performance indicator: KPIs are exceeded; Demonstrable savings and productivity improvements; Tool Time
