DEPARTMENT/PROJECT OVERVIEW
The Boys & Girls Clubs of Greater San Diego (BGCGSD or Clubs) CHANGES LIVES through quality programs and guidance in a safe, affordable and fun environment. BGCGSD’s mission is to inspire and enable youth to achieve academic success, build good character and responsible citizenship and make healthy lifestyle choices. POSITION OVERVIEW
Under the direct supervision of the Vice President of Development, this position provides essential support to the Development Department as we undergo a digital transformation. Key responsibilities include digitizing forms using a form builder, testing systems using specific instructions, conducting outreach to prospective supporters, and performing data entry and other administrative tasks. The Development Assistant will also be assigned additional duties as needed. This role requires independent judgment to effectively plan, prioritize, and manage a diversified workload in a fast-paced environment. The ideal candidate is tech-forward and has attention to detail.
1. ESSENTIAL DUTIES AND RESPONSIBILITIES
- Ability to research, identify, and make calls to businesses to set up exploratory meetings.
- Ability to make follow-up calls and send emails to vendors, in-kind donors, and ad sponsors.
- Performs accurate data entry and manages records to ensure organized and up-to-date information systems.
- Digitize and deploy forms.
- Schedule appointments and maintain calendars to support efficient workflow and time management.
- Maintain an organized system in OneDrive/SharePoint to ensure effective document management and retrieval.
- Answering and directing phone calls, greeting visitors, and writing and distributing emails and other correspondence.
- Perform other duties as assigned by management to support the needs of the organization.
2. QUALIFICATIONS
- High School Degree/or equivalent. Bachelor’s degree or working toward (Required).
- Tech-savvy candidates with experience using AI, digital forms, and other technology (Highly Preferred).
- Strong written and verbal interpersonal communication skills to converse diplomatically and effectively with volunteers, donors, and staff. Excellent writing with meticulous grammar and spelling; analytical skills. Ability to manage multiple projects at once (Required).
- Expertise using computers and relevant software applications, including graphics, spreadsheets, calendaring and word processing; proficient in web-based research. We use Microsoft, Google, Jotform, Bloomerang, Canva, and GiveSmart. Experience and/or willingness to learn with these systems is a plus (Required).
- Developed work ethic to be responsible, accountable; independently follow up, complete tasks, anticipate needs and meet deadlines in a professional manner with accuracy and on schedule (Required).
- Excellent interpersonal skills and a proven ability to communicate effectively in a professional manner. Verified oral and written command of the English language (Required).
- Verified flexibility to work independently and in teams in an environment with staff overlap and emerging processes (Required).
- Strong organizational skills with the ability to work independently, prioritize tasks, organize time efficiently, judge information and meet deadlines and to initiate and track routine independent short- and long-range projects to completion (Required).
- Experience coordinating events. including planning, setup, and day-of logistics support (Required).
3. SAFETY & WELLNESS
- Ensure a safe, clean, and welcoming environment for all youth, staff, and visitors by consistently enforcing safety protocols and organizational policies.
- Be proactive in identifying and reporting any safety concerns or maintenance requirements to ensure a safe working environment for everyone.
- Participate in safety drills and contribute to ongoing risk assessment and emergency preparedness efforts.
- Contribute to the ongoing improvement of Club safety and wellness policies and procedures across the Club.
Special Conditions of Employment:
- Successful completion of pre-employment background check and maintaining a drug-free work environment.
- C.P.R. & First Aid Certification.
- Must be able to work occasional evenings and/or weekends that coincide with events and meetings, and multiple work sites.
- Must have access to reliable transportation to travel and transport materials, using a cart or other means, to off-site meetings and events.
- Valid Driver’s license and verification of insurance.
