Job Description
- Answer phones and greet clients in a friendly, positive, and warm manner
- Keep the office environment neat, tidy, and organized to ensure a welcoming atmosphere
- Maintain the telecommunication system, including welcome screens, voicemails, telephone messages, and RepChat texts
- Baking fresh cookies daily as part of the guest experience
- Be the first point of contact for prospects and clients while building and improving client relationships
- Manage the advisor's calendar, including appointment rescheduling and updating the office calendar with advisor schedules, meetings, and events
- Ensure beverages and snacks are available for clients and maintain a running list of pantry items needed
- Maintain the firm’s CRM system (Salesforce) through accurate data entry and database management
- Sort and distribute incoming mail
- Retrieve client files as needed by the team
- Keep all brochures, packets, and handouts stocked and up to date
- Contact clients to confirm appointments via email, text, or phone calls, and provide reminders of time and location two to three days in advance
- Working alongside the Marketing Department on calls to clients and prospects as needed
- Be available for approximately four client events throughout the year (4-5 hours approximately per event)
- Other office and administrative duties as needed
- High school diploma or equivalent qualification
- 1+ years’ experience in a busy office environment
- Prior experience in customer service or administrative role is preferred
- Demonstrates proficiency and confidence working in Microsoft Office (Outlook, Word, Excel)
- Embraces change and can adapt quickly to evolving processes
- Collaborative team player willing to assist others
- Demonstrates exceptional organizational skills by efficiently managing multiple requests and prioritizing time sensitive tasks
- Excellent communication; written and verbal
- Exhibits meticulous attention to detail and a commitment to accuracy
- Skilled in building strong, trust-based relationships with clients by providing attentive, personalized service and guidance
- Self-starter who takes initiative and works well independently
- Demonstrates strong integrity and a commitment to ethical conduct, especially when handling confidential client information and financial matters
- $24.00/hr. with bonus potential

Pay Range: $24 per hour
