Job Description
Executive Summary
The Payroll Specialist is a key contributor to the Finance operations team, responsible for the administration of end-to-end payroll services. This on-site role requires a professional with high accountability, advanced technical proficiency in Paycom, and a deep understanding of multi-state regulatory requirements. Reporting directly to the Director of Payroll and Benefits, the Specialist ensures operational excellence and audit-ready accuracy across all payroll functions.
Primary Responsibilities
- Full-Cycle Payroll Execution: Oversee the timely processing of multi-state payroll, ensuring 100% accuracy in data entry, wage calculations, and tax withholdings.
- Regulatory Compliance & Oversight: Monitor and apply federal, state, and local tax regulations across all active jurisdictions. Ensure strict adherence to FLSA standards and internal financial controls.
- Benefits & Deductions Coordination: Collaborate with the Director to manage and audit payroll deductions for benefits, 401(k) contributions, and other voluntary withholdings.
- Reconciliation: Prepare workpapers for month-end reconciliations and annual tax filings.
- Internal Advisory: Act as a point of contact for employees and management, providing resolutions to payroll, tax, and benefits-related inquiries.
Professional Qualifications
- Experience: Minimum of five years of professional payroll experience, with a specific focus on high-volume, multi-state environments.
- Technical Proficiency: Mastery of the Paycom ecosystem is required. High proficiency in Microsoft Excel (Pivot Tables, VLOOKUPs, and complex formulas) is essential.
- Professionalism: Demonstrated ability to handle sensitive and confidential information with the utmost discretion and integrity.
- Communication: Refined written and verbal communication skills, suitable for reporting to executive leadership and supporting a diverse workforce.
- Education: Bachelor’s degree in Finance, Accounting, or Business Administration is preferred. CPP (Certified Payroll Professional) designation is a plus.
