Job Summary The Sales Administration Team Leader for the Enterprise vertical within the Sales Support Group plays a key role in helping to define and set the budget for each opportunity. The Team Leader will be responsible for creating opportunities and liaising with Enterprise coordination and administrative colleagues who are responsible for calculating the costs of a project during the quotation stage prior to project award, covering everything from hardware and services costs, equipment hires, logistics costs and everything in between. The Team Leader is not expected to perform engineering level tasks; However, the role bridges a gap between the Diversified Account Executive as well as the Client, Sales and Design Engineering teams, with close support and guidance from each department. The Team Leader will be responsible for creating each opportunity to generate an internal pipeline for forecasting and tracking purposes, conducting client discovery calls, as well as reviewing each opportunity and generating proposal documentation. Working closely with a team of Global Account Managers, Account Executives and Sales Engineers, the Sales Support Group provides technical guidance in the sales process, helping to define solutions to our client’s challenges. The team will define the design of each project, producing technical estimation and budgeting before presenting this to the client in proposal form. Once appointed, the Sales Support Group work to ensure a smooth transition from sales through to the deployment teams, ensuring all documentation is shared, and working alongside the assigned Project Managers and Design Engineers, to set the project up for success. A key responsibility is the ability to develop a client request for pre-defined AV solutions (AV Standards) through the costing phase and output a proposal for client submission. The Sales Administration Team Leader will work with both internal and external Bill of Materials and pricing documents (Microsoft Excel), utilizing our vendor database to obtain supplier quotations and liaising with our trusted partner network to secure accurate quotations in order to deliver quality solutions. A Scope of Work document will then be created using existing templates for pre-defined solutions. The Bill of Materials and Scope of Work will then need to be reviewed by a Senior Design Engineer, which the Team Leader will coordinate. Following review, the Team Leader will share the Scope of Work with the client upon receiving approval from the Account Executive. The Sales Administration Team Leader is responsible for ensuring the Enterprise team are aligned with deliverables for each opportunity, to ensure a timely response to our client’s requests. Additionally, the Team Leader will act as a key part of our quality review process. The Team Leader will provide guidance to the Sales Support Administrator and Sales Coordinator. The role would suit someone with good numerical skills and experience using pricing sheets in Excel form. A basic understanding of AV systems and technology deployments is essential for this role. Primary Duties & Responsibilities: Technical Criteria: Act as a point of communication between our clients, Account Executives, Project Managers, and Design Engineers to produce solution designs, budgets and proposals New Opportunity request administration – i.e. folder set-up in line with standard structure Creating and completing hardware only pricing requests Formation of standard proposals (top and tailing) Schedule and drive initial discovery calls with the client to aid SOW creation Develop detailed Bill of Materials (BOM) that includes all equipment and resources required to deliver the solution design Produce accurate Scope of Work documentation (SOW) to support the solution design and project requirements Work with manufacturers and vendors to obtain quotations for hardware and accurate lead times to aid project delivery, building rapport with our trusted partners, ensuring all quotations are within their validity period Managing a database of vendor pricelists and supported pricing agreements, running cost analysis to ensure we remain competitive Work with third party pricing schedules and our partners Collation of manufacturer queries to pricing requests for review by others Coordinate labour estimation review meetings with relevant colleagues Produce accurate travel and logistics costs for projects, detailing plans to assist with cost review Refreshing client quotations before they pass their validity period Assisting with high level estimations based on historical pricing Collate and present templated functional descriptions and Scope of Works documentation Assist other members of the team with peer reviews and guidance when required, driving standardized review process before opportunities are released to our clients Attend appropriate manufacturer trainings, lunch and learns and online education   Professional, Behavioral and Performance Expectations:   Take a proactive approach to quickly identify progress blockers and communicating these to relevant parties and line manager Take a proactive approach to managing multiple requests simultaneously, ensuring that all new requests and evaluated and progressed upon assignment Take ownership of identifying financial, project, and safety risks of each opportunity ensuring manageable risks are mitigated, and higher risk items communicated to management Ensure that detailed notes are collected and shared from meetings in a clear and helpful manner Commitment to meeting performance targets and key performance indicators (KPIs). This will include timely submission of work, quantity and quality of output, project value-based assessments, errors and margin erosion tracking etc. Be responsive to ad-hoc communication from both internal and external staff. Be available for communication (MS Teams) through-out the working day, advising of unavailable periods through status updates Participate in internal team progress, weekly, and catch-up calls The position bears the responsibility to develop long lasting client partnerships & work with team members to maintain the account on all levels Demonstrate astute commercial awareness, collecting data to make sound commercial decisions Train new members of the team including being shadowed and mentoring.    Process monitoring, analysis & improvement.
