Job Summary

The Project Administrator I is an entry level support role responsible for providing administrative and coordination support to project and program teams. This role ensures that projects run smoothly by maintaining documentation, tracking actions, supporting meetings, and assisting with schedule and data updates.

Job Description

The Project Administrator I focuses on project administration and execution support, not decision‑making or delivery ownership. The role is developmental and builds foundational understanding of project lifecycles, governance, and cross‑functional coordination.
This position typically reports to a Project Manager, Program Manager, Project Management Office (PMO) Lead, or Functional Manager.

Project Administration & Coordination
Provide administrative support for assigned projects or programs
Maintain project files, documentation, and records in accordance with standards
Assist with coordination of project activities across team members

Schedule, Action & Task Tracking
Update project schedules, action logs, and task trackers as directed
Track completion of action items and follow up with owners
Flag overdue items or data gaps for escalation

Meeting & Communication Support
Schedule project meetings, prepare agendas, and distribute materials
Capture meeting notes, decisions, and action items
Distribute follow‑ups and ensure records are maintained

Reporting & Data Support
Assist with preparation of routine project status reports and summaries
Enter and update project data in tracking tools or systems
Ensure data accuracy and consistency

Document Control & Organization
Maintain version control for project documents and presentations
Ensure documentation is organized, accessible, and up to date
Support audit or review readiness through accurate recordkeeping

Risk & Issue Awareness
Track basic risks, issues, or dependencies as identified by project leaders
Support escalation by providing clear supporting information
Assist with maintaining logs and registers

Cross‑Functional Support
Work with team members across Operations, Engineering, Finance, IT, or other functions
Support information flow and coordination between teams
Respond to routine project inquiries professionally and promptly

Process & Tool Adherence
Follow established project management processes, templates, and tools
Support consistent use of standards and governance requirements
Assist with minor updates to templates or workflows as directed

Qualifications
Education & Experience

High school diploma or equivalent required
Associate or bachelor’s degree in Business, Management, Operations, or related field preferred
Entry‑level role; typically 0–1 years of experience in administrative, coordination, project support, or office roles

Knowledge, Skills & Abilities
Strong organizational skills and attention to detail
Basic computer proficiency (spreadsheets, documents, email, calendars)
Ability to follow defined processes and instructions
Clear written and verbal communication skills
Ability to manage multiple routine tasks and deadlines
Dependable follow‑through and professionalism
Willingness to learn project management concepts and tools
