Role: Onsite Administrative Assistant 

Location: Orlando, FL

Community: Mirabella at World Gateway

Pay Range: $18.00 -$18.50 per hour (depending on education and experience)

Job Type: Full-time

Role Summary

The Onsite Administrative Assistant assists in the management of daily operations of community associations delivering professional services and exceptional customer satisfaction in accordance with the service level agreement, and in alignment with the company’s guiding principles. 

 


Responsibilities

  • Welcome, interview, and orientation for new residents
  • Contact with Property Managers and Owners 
  • Enter lease agreements and information on Concierge Plus and CiraNet
  • Inform new residents of Oates Energy for proper water usage and billing
  • Program gate codes for residents and visitors
  • Program access cards and clickers for residents
  • Receive and process correspondence
  • Receive and inform residents of packages in the concierge plus
  • Accounts collection for residents who owe water
  • Pest Control listing and information with a technician
  • Placing mailings and announcements on the concierge plus
  • Answering emails on Ciranet
  • Reviewing accounts, charges, and payments with homeowners/ Assist Processing Delinquencies
  • Process work orders in Ciranet (enter, update, and close) accordingly
  • Process tasks in Ciranet
  • Answer phones
  • Screen calls for General Manager
  • Assist owners and tenants at the office
  • Translate
  • Process changes of vehicles, telephone no., new tenants, etc. for residents
  • Receive parts and material requests from maintenance personnel and inform General Manager.
  • Send payments of access cards and others received to the Lock box

  • Hospitality experience preferred
  • Strong organizational skills with the ability to prioritize and multitask effectively.
  • Excellent verbal and written communication skills.
  • Positive, customer-focused attitude with a professional demeanor.
  • Proficiency in Microsoft Office (Word, Excel, Outlook); experience with property management software is a plus.
  • Ability to work independently and collaboratively in a dynamic, fast-paced
  • Bilingual (Spanish/English) preferred

 

Physical Requirements 

  • Ability to sit for prolonged periods at a desk and work on a computer.
  • Ability to occasionally stand, walk, bend, or reach as needed.
  • Ability to lift or move objects up to 10–15 pounds (e.g., files, office supplies).
  • Manual dexterity to operate a computer keyboard, mouse, telephone, and other office equipment.
  • Visual acuity to read printed materials, spreadsheets, and computer screens.
  • Hearing and speech ability to communicate effectively in person, by phone, and in virtual meetings.
  • Ability to work in a standard office environment with moderate noise levels.
  • Ability to work a standard schedule, with occasional extended hours as required.

 


Pay and Benefits

$18.00 to $18.50 per hour depending on education and experience.
