Salary to be commensurate with experience
The hiring range for this position is $23.84 - $29.80 per hour.

OVERVIEW OF POSITION / DEPARTMENT
The Administrative Specialist provides general administrative support and performs complex clerical duties for the Water Internal & External Relations Division as well as the Water Services management team and staff.
PRIMARY DUTIES & RESPONSIBILITIES
- Provide subject matter/division-specific support for the Water Internal & External Relations Division as well as the Water Services management team and staff
- Document assistance which includes: Performing document review and QA/QC including formatting, preparing, editing, proof-reading, routing, scanning, indexing, and electronic filing for contracts, memoranda, agreements or other documents and correspondence (including mail and e-mails); ensuring documents meet ADA requirements and Aurora branding standards; routing for signatures; ensuring final documents have all the correct signatures, attachments, exhibits etc.
- Assist in coordinating with the City Clerk's Office to manage documents needing signatures, filing, inventory etc.
- Schedule and coordinate external and internal meetings which include Senior Management, Directors, Department Staff, and community partners
- Assist division staff in managing SharePoint sites and libraries as well as making updates to Aurora Water’s public website
- Review and correct video closed‑captioning for accuracy, timing, and readability
- Assist with mailing including addressing, packing, and mailing envelopes; sorting, scanning and delivering incoming mail
- Assist in managing copier, office, and break room supplies
- Act as Purchase Card Custodian and assist with reconciliations
- Assist with accurately coding and filing warehouse invoices
- Perform other duties as assigned

MINIMUM QUALIFICATIONS & WORKING CONDITIONS
MINIMUM QUALIFICATIONS
An equivalent combination of education, training, and experience that demonstrates required knowledge, skills, and abilities may be considered.
Education:
- High School Diploma or GED
- Some college preferred
Required Experience:
- Two (2) years of office administrative support experience
Preferred Experience:
- Website editing
- Familiarity with WCAG and ADA Compliance
- CommonLook and CapCut
Knowledge:
- Knowledge of business English, spelling, and math
- General office equipment, including personal computers with related software applications
- MS Office Suite
Abilities:
- Ability to establish and maintain effective working relationships with employees and citizens.
- Communicate clearly and effectively both verbally and in writing
- Ability to understand oral and written instructions
- Handle stressful situations with tact and diplomacy
- Ability to work well under pressure and meet deadlines with little supervision
Skills:
- Efficiently and accurately key information using a keyboard and skill in performing data entry.
- Strong interpersonal, analytical and organizational skills
Licenses and Certifications:
- Valid Colorado driver's license with a good driving record
WORKING CONDITIONS
Essential Personnel:
- When a local announcement of emergency or disaster is declared by the city, all City of Aurora employees may be required to work as essential personnel.
Physical Demands:
- Light physical work lifting at least 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds with or without assistance.
- Frequent hand/eye coordination for operation of office equipment
- Vision for reading and interpreting reports and data analysis and preparation
- Frequent speech communication, hearing and listening to maintain communication with employees and citizens
Equipment Used:
- Frequently uses standard office equipment including computer, calculator, multi-line telephones, and copy/fax machines
- This position may require the incumbent to occasionally use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment
The city of Aurora will implement furlough days (unpaid days off) for most employees in 2026. The scheduled furlough dates are January 16, April 10, July 2, and December 24.
