Closet Factory Philadelphia is seeking a highly organized, detail-oriented Purchasing Coordinator to support our operations team. This position plays a key role in coordinating purchasing, tracking project readiness, managing vendor communication, and helping projects move efficiently from sale through installation.
The ideal candidate thrives in a fast-paced environment, can manage multiple priorities simultaneously, and understands the importance of accuracy, communication, and follow-through.
Position Summary
The Purchasing Coordinator is responsible for managing material purchasing, monitoring project timelines, coordinating deliveries, and maintaining accurate project information within ClosetWare (Salesforce platform). This role works closely with production, installation, scheduling, and management teams to ensure projects stay on track and customers receive an exceptional experience.
Responsibilities
Purchasing & Vendor Management
- Place and manage purchase orders for materials and buyout items
- Confirm vendor acknowledgements and delivery schedules
- Track deliveries to ensure projects remain on schedule
- Review delivery tickets and approve invoices for payment processing
- Resolve vendor delays, shortages, and discrepancies
- Maintain accurate purchasing records and updates in ClosetWare
Project Coordination
- Monitor and manage operational reports within ClosetWare, including:
- Job Ready Reports
- Delivery Due Reports
- Installation Completion Reports
- Purchasing Reports
- Assist with coordinating installation schedules based on material lead times and project readiness
- Participate in weekly scheduling and operations meetings
Communication & Administrative Support
- Coordinate with installation, production, pre-production, service, and management teams
- Ensure project documentation and information are accurate and up to date
- Communicate delivery and installation updates clearly to both customers and internal teams
- Utilize Microsoft Office and Excel for reporting, tracking, and communication
- Become proficient in ClosetWare and related systems
Qualifications
- Strong organizational and multitasking skills
- Excellent verbal and written communication abilities
- High attention to detail and accuracy
- Ability to work efficiently in a deadline-driven environment
- Proficiency in Microsoft Office Suite, especially Excel
- Experience with purchasing, scheduling, operations, or project coordination preferred
- Salesforce, ERP, or project management software experience is a plus
- Team-oriented with strong follow-through and problem-solving skills
