Department Assistant / Receptionist | Logan Health Volunteers Department

Location: Logan Health – Volunteers Department | Kalispell, MT
Schedule: Full-time, Monday–Friday, Day Shift

At Logan Health, our Volunteers Department plays an important role in supporting patients, visitors, and staff across the organization. We are committed to creating a welcoming, organized, and service-focused environment while supporting volunteer engagement and departmental operations throughout the health system.

We are seeking a Department Assistant Receptionist to join our Volunteers Department team. This role is ideal for an organized and customer-focused professional who enjoys working with people, managing multiple priorities, and supporting day-to-day departmental operations in a collaborative healthcare environment.

Key Responsibilities

  • Provide administrative and technical support for the Volunteers Department in an organized and accurate manner according to department policies and procedures.

  • Coordinate and communicate the flow of daily activities, information, and operations for assigned areas.

  • Greet and assist volunteers, staff, patients, and visitors in a professional and welcoming manner.

  • Develop and maintain filing systems, records, and documentation according to department protocols.

  • Assist with documentation collection, data entry, tracking, and reporting as needed.

  • Coordinate appointments, meetings, schedules, agendas, and meeting minutes as applicable.

  • Assist leadership with staffing coordination, scheduling communication, and daily operational support.

  • Maintain office supply inventory and assist with ordering supplies as needed.

  • Provide backup support for other department support staff and assist with departmental projects and activities.

  • Perform quality checks on completed work to ensure accuracy and customer satisfaction.

  • Assist in onboarding, training, and orientation activities for new employees and volunteers as applicable.

  • Maintain professionalism, confidentiality, and excellent customer service in all interactions.

Required Qualifications

Minimum of one (1) of the following required, as applicable to assigned area(s):

  • Minimum of one (1) year of experience in an administrative role.

  • Minimum of one (1) year of experience in a medical setting.

  • Minimum of one (1) year of experience in a similar role.

  • Minimum of one (1) year of experience in customer service, reception, or retail.

  • Post high school education or vocational training in healthcare.

Additional qualifications include:

  • Excellent organizational skills with strong attention to detail and the ability to prioritize effectively.

  • Strong critical thinking skills with the ability to work independently and collaboratively within a team environment.

  • Excellent verbal and written communication skills with the ability to interact effectively with various audiences.

  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with professionalism and diplomacy.

  • Commitment to maintaining confidentiality and professionalism in all interactions.

  • Proficient computer skills including Microsoft Office Suite and the ability to learn additional software systems as needed.

Preferred Qualifications

  • Understanding of medical terminology preferred.

  • Current CPR certification preferred or required as applicable to assigned area(s).

  • Knowledge of Medicare, Medicaid, insurance verification, authorizations, billing, and collections preferred.

  • Current Notary Public certification or the ability to obtain preferred.

Driver Requirements

(Applicable only if assigned driving responsibilities)

  • Current valid driver’s license required.

  • Driving record for the previous thirty-six (36) months must not reflect major driving offenses including, but not limited to:

    • DUI

    • Felony involving a motor vehicle

    • Suspended license

    • Three (3) or more speeding tickets or moving violations

  • Personal vehicles used for Logan Health business must maintain state minimum liability insurance coverage.

Schedule:

Logan Health operates 24 hours per day, seven days per week.  Schedules are set to accommodate the requirements of the position and the needs of the organization and may be adjusted as needed.
