Job Summary
The Executive Assistant provides high-level administrative and operational support to assigned teams and executives, including Vice President-level leadership. This role is responsible for coordinating complex calendars, meetings, travel arrangements, reports, communications, budget and expense documentation, and special projects with accuracy, professionalism, and exceptional attention to detail. The Executive Assistant serves as a trusted partner to leadership by anticipating needs, exercising sound judgment, maintaining confidentiality, and ensuring timely execution of critical administrative and operational activities.
The position maintains a consistent on-site presence to support daily departmental operations, ensure continuity of essential business functions, address time-sensitive requests, and serve as a reliable point of coordination for staff, leaders, customers, and visitors. This role requires strong organizational skills, proactive follow-through, effective communication, and the ability to manage multiple priorities while supporting leadership effectiveness, team productivity, and overall departmental efficiency.
Hours: 8 am-5 pm with 1-hour lunch or 8-4:30 with 30-minute lunch and located Temple Main Campus.
Essential Functions of the Role
- Administer daily office operations for Vice President-level leadership and assigned departments.
- Coordinate and manage complex calendars, meetings, conference calls, and travel arrangements while ensuring efficient scheduling and prioritization of executive time.
- Prepare and generate reports, presentations, research, budget reconciliations, expense reports, personnel documents, and other business-related materials.
- Support departmental operations by serving as a central point of coordination for leaders, team members, customers, and visitors.
- Organize, coordinate, and assist with special projects and departmental initiatives as assigned.
- Develop and maintain record-keeping procedures to ensure the accuracy, security, and confidentiality of sensitive information and records.
- Process travel submissions, expense documentation, and other administrative requests in a timely and accurate manner.
- Interact professionally with internal and external stakeholders, providing accurate information and exceptional customer service.
- Exercise independent judgment in handling routine matters, escalating issues appropriately, and ensuring timely follow-up on requests and action items.
- Handle all information with the highest level of confidentiality and discretion.
