About the Team & Business Line
Join and lead a dynamic administration team and play a vital role in supporting Vilnius office operations, its employees, and the team itself. Working closely with both internal and external parties, this role leads the team to reflect the high-quality standards of the organization, ensuring that office facilities, employee community, internal stakeholders, vendors, and communication are fit for purpose and legally compliant.

Your Role:
- You will support and collaborate with Site Leadership to determine and prioritize Site development activities.
- Engaging in strategic activities by leading them and reporting back to Site leadership.
- Acting as a single point of contact (for support functions) in aligning business requirements and addressing shared needs / pain-points.
- Regularly interfacing with global and matrix stakeholders to ensure implemented projects, processes and policies remain aligned with Company’s guiding principles.
- Running and taking part in various Site level communication projects and initiatives.
- Supervising daily support operations and planning most efficient administrative procedures, leading team.
- Strengthening internal culture through a variety of communication, bottom up change initiatives, other projects. Leading employee engagement committee.
- Communicator, master organizer, problem solver, innovator process driver, day to day decision maker.
- Developing and managing productive relationships with stakeholders.
- Policies and procedures: studies, overtime, business travels, holiday and other absences; mobile phones, sport allowance, office access and new safety procedures, BCP documentation.
- Absence, holiday, sick leaves management, overtime control and final timesheet preparation for payroll.
- Contracts and leases; vendor management. Expense management and budgeting.
- Organizing: front desk operations, benefits, trainings, business trips, gifts, office initiatives and events, relocations catering, parking, cleaning, security, maintenance and repairs.
About You:
- Supportive, energetic, creative and friendly approach as well as accurate, flexible and tactful.
- Excellent communication and interpersonal skills as well as strong sense of responsibility and discretion.
- Ability to multitask and work in a dynamic atmosphere.
- College or university degree.
- Fluent in English and Lithuanian (both written and verbal) as well as IT literacy.
- Experience in a similar position or client service environment would be an advantage.
Salary Range
3333-4500 EUR GROSS
