Pay Grade: 760 (Min $20.79 per hr)

Primary Purpose:
Manage SHARS, Medicaid claim program for special education services. Secretary will coordinate a high volume of data including the student claims, parent consent, and provider information; provide training to providers and monitor participation in required SHARS/Medicaid procedures; and coordinate with representative of the Medicaid data system on-program requirements. Provide clerical support services to the department head and other staff members.
Qualifications:
Education/Certification:
- High school diploma or equivalent (required)
- College degree or equivalent experience (preferred)
Special Knowledge/Skills:
- Knowledge of Special Education Services (preferred)
- Exemplary organizational skills and ability to meet deadlines and schedules
- Exemplary computer skills in word processing, spreadsheets and database systems
- Exemplary interpersonal and communication skills, both written and oral
Experience:
- Two years or more experience secretarial experience in public education
- Previous employment in an area involving insurance claims
Major Responsibilities and Duties:
- Assume responsibility for the organization and operation of work within the area of supporting students and staff working with special education students following federal program guidelines as directed by the district and as specified in 34 Code of Federal Regulations �300.208 (a)(1)
- Keep informed of and comply with all state and district policies and regulations concerning primary job functions
- Maintain and manage all needed aspects of the district SHARS/Medicaid billing system
- Assist in collecting and verifying student Medicaid consent forms and enter data in applicable systems for Medicaid identification
- Obtain the monthly Medicaid eligibility list and communicate with all applicable stakeholders for billing purposes
- Maintain and manage the RMTS (Random Moment Time Study) system- State mandated program since January 2007 set up to measure the amount of time spent on SHARS activities and to set Medicaid reimbursement rates.
Prepare required participant list and update quarterly for RMTS
Conduct mandatory training sessions for teachers, teaching assistants, itinerant staff chosen to participate in RMTS
Maintain documentation, per State requirements, showing teachers have attended training sessions
Develop and conduct training sessions with teachers, itinerant staff and team leaders regarding SHARS/Medicaid procedures and requirements. Training involves information regarding Medicaid eligibility lists, consent forms, billing session notes, etc.
Work with the district finance department in providing data as needed: i.e. quarterly reimbursement reports, COF (Certification of Funds) R&S (Remittance and Status) reports, and gathering needed signatures on documents
Attend all required trainings as pertain to the job and or asked of by the district
Keep detailed excel spreadsheets of Medicaid students and consent information
Perform other functions that may be assigned by the Administration and/or supervisor
Maintain confidentiality of information and records for seven years
Follow all rules, regulations, and policies of Plano ISD and follow directives from superiors
Follow attendance policy as assigned by supervisor
