Function / Position Summary
The primary role of this position is to provide comprehensive support for the Licensure and Certification process. The Human Resources Generalist assists with a variety of HR functions including staffing, licensure compliance, onboarding, and policy implementation to ensure district practices align with state regulations, collective bargaining agreements, and district policies. Additionally, this role requires close attention to detail and coordination with various stakeholders to ensure that all licensure processes are handled efficiently and accurately.
Job Duties/Responsibilities
- Assist in the management of the licensure/certification process of all certified staff.
- Assist with the verification of licensure for all certified staff at the time of hire and during the staffing process for the next academic school year.
- Facilitate orientation for all hires, including slide show presentation, documentation review and collection, viewing of tutorials, and to follow up with employee and administrator.
- Assist in the hiring procedures, process, systems, and policy.
- Ensure compliance with all protocols related to hiring, interviewing, employee testing, background checks, seniority reports, and professional development.
- Process all newly hired employees, confirming a cleared background check, orientation, required documentation, I9 E-Verification, tutorials, and personnel file completion.
- Process and enter all aspects of employee information updates (hires, transfers, terminations) in the HRIS system (and the U46 Licensure system); must maintain accurate data changes and data integrity.
- Ensure compliance with USCIS Form I-9 Employment Eligibility Verification for all district employee hires.
- Assist with creating and updating of all procedure documentation related to hiring, interviewing, employee testing, background checks, I-9s, seniority reports, employee files and any other reporting as assigned.
- Provide consultation and interpretive guidance to employees on becoming licensed and registering their licenses in Kane County.
- Monitors and follows up with certified staff that have temporary credentials; assuring that they are working on the process of becoming fully licensed for their positions in a timely manner, and, by the time their temporary credential expires.
- Monitors and follows up with certified staff whose licenses are due to be renewed each year.
- Data entry of licensure data into the internal HR Licensure database.
- Assists with providing advice, consultation, and interpretive guidance to administrators, principals, teachers, applicants, staff, and other agencies on licensure matters and the effect of legislative and State Board of Education changes of licensure procedures and any federal law.
- Assist internal stakeholders in identifying proper licensure/certification qualifications.
- Receives, reviews, and evaluates various documents, i.e., transcripts, test scores/results, etc., to identify licensure qualifications required for each position.
- Keep abreast of educator licensure requirements/changes via the Illinois State Board of Education licensure website, Illinois School Code, and Administrative Code.
- Generates routine and specialized correspondence, articles, memos, agendas, orders, reports, forms, manuals, and/or other relevant materials appropriate to the licensure process.
- Completes verification of employment for loan forgiveness program applications and other verifications of employment.
- Support district recruitment initiatives by offering licensure assistance at career fair events for both internal and external candidates. Participate in other aspects of job fair events as needed.
Performs other duties as assigned
Education
- A Bachelor's degree in a related field is preferred to support state licensure and certification processes and Human Resources operations preferred.
- One year of licensure/certification experience, preferred.
Experience / Knowledge
- Exceptionally organized and self-driven, with a keen eye for detail.
- Capable of managing conflicting priorities and thriving in high-pressure situations.
- Able to work independently and take on leadership roles as needed.
- Skilled in using specialized computer programs and applications.
- Proficient in Microsoft Word and Excel and/or Google Workplace.
- Willing to work overtime when necessary.
- Maintains the highest level of confidentiality.
Physical Demands
- Ability to work on a computer most of the day.
- Ability to multitask in a busy office setting.
- Able to lift up to 20 pounds.
Terms of Employment
- This is a 12-month work year position. Salary and benefits as established by the Board of Education.
- The full salary range for this position is $54,752.00 - $82,139.00. It is our typical practice to hire the minimum and midpoint ($68,446.00)
