About The Role
This role is the primary technical and administrative resource for the Storeroom, with a specific mandate to ensure SAP system accuracy, inventory data integrity, and workforce scheduling discipline. This position operates at the intersection of SAP Materials Management (MM/WM), procurement operations, finance reconciliation, and labor planning, serving as a cross-functional coordination point between Procurement, Finance, Maintenance, and Operations.
This is not a procurement support role. It is a data-and-operations coordinator role with defined SAP technical authority and accountability for reporting outputs, scheduling accuracy, and process compliance across the Storeroom.
What You’re Going to Do (Key Responsibilities)
SAP Technical Authority
Execute SAP transactions independently
Own material master data accuracy, UoM consistency, and pricing record maintenance
Initiate and support GR/IR reconciliation; coordinate resolution with Finance and Procurement
Identify and escalate PO variances, vendor pricing discrepancies, and receiving gaps
Inventory & Procurement Coordination
Monitor open Purchase Orders and track delivery status against operational needs
Support cycle counts, inventory adjustments, and physical reconciliation processes
Validate supplier acknowledgements for accuracy (price, quantity, due date) in SAP
Coordinate with Procurement on vendor communication, open order follow-up, and data corrections
Note: This role supports procurement data integrity in SAP, it does not execute purchasing decisions or manage supplier relationships independently.
Workforce Scheduling & Kronos Administration
Create and manage weekly schedules for hourly storeroom employees
Maintain Kronos timekeeping records: review clock-in/clock-out, approve timecards, support payroll accuracy
Coordinate schedule adjustments for PTO, overtime, call-ins, and coverage gaps
Note: Kronos usage in this role is operational, it supports storeroom coverage and SAP labor tracking. It does not include payroll calculation, ADP processing, or union contract administration.
Reporting & Analytics
Generate and distribute daily/weekly SAP reports covering inventory shortages, aged stock, open POs, and spend tracking
Support development of automated reports and KPI dashboards for storeroom visibility
Maintain organized documentation: contracts, vendor communications, scheduling records, audit files
Compliance & Continuous Improvement
Support digital transformation initiatives across the storeroom operations.
Participate in audit preparation and compliance reviews
Identify process gaps and propose efficiencies in storeroom operations
Provide general administrative support to storeroom leadership as needed
What We Expect From You
Required
Bachelor’s or Associate’s degree.
Hands-on experience in SAP MM/WM or comparable ERP system (transactional-level, not read-only)
Experience with workforce scheduling and Kronos or equivalent timekeeping system
Intermediate-to-advanced Excel proficiency for data management and reporting
Experience supporting procurement, inventory reconciliation, or invoicing processes
Strong attention to detail, organizational discipline, and written communication skills
Ability to work cross-functionally in a fast-paced industrial/manufacturing environment
Preferred
Familiarity with GR/IR reconciliation processes and procurement-finance workflows
Experience in a pulp, paper, or industrial manufacturing environment
Exposure to KPI reporting or operational dashboard development
What We’re Looking For:
Systems & Data Driven: Comfortable working in SAP and producing accurate reports to support daily decisions.
Organized Scheduler: Able to build and adjust weekly schedules, manage coverage needs, and support workforce planning.
Cross-Functional Communicator: Works smoothly with Procurement, Finance, Maintenance, Operations, and vendors to keep processes moving.
