Position Summary:
The Reception/Facilities Lead is the primary receptionist for Met Council�s main office, responsible for welcoming visitors, fielding inquiries, and answering and directing phone calls. The role supports facilities operations, including mail and package handling, supply management, conference room scheduling, and upkeep of common areas, working in coordination with the Facilities Assistant. Additionally, the Lead plays a key role in planning and setting up internal office events, ensuring that logistics and space needs at the main office are managed smoothly.
Principal Responsibilities:
- Manage incoming phone calls, forwarding them as appropriate and providing basic information when needed.
- Welcome and direct visitors, notifying the appropriate employee contact of arrivals.
- Receive, sort, and distribute mail, packages, and deliveries; process outgoing mail and make post office runs as required.
- Maintain office security by following established procedures and entering visitor information into the building security list.
- In collaboration with the Facilities Assistant, track and replenish office supplies, snacks, and other inventory.
- Monitor common areas (breakroom, supply/mail room, etc.) and coordinate upkeep with the Facilities Assistant.
- Respond to employee service requests related to reception or facilities needs, escalating as necessary.
- Coordinate with building management regarding service requests and ensure timely follow-up.
- Manage the general email inbox ([email protected]), reception email inbox ([email protected]), and facilities email inbox ([email protected]) via Outlook.
- Reserve and maintain conference room schedules.
- Provide clerical support including filing, photocopying, scanning, and postage.
- Serve as backup to the Facilities Assistant on processing donations for the Development department (including organizing incoming checks).
- Assist the Senior HR Generalist with planning and setup of staff mixers, trainings, and other internal events.
- Additional responsibilities as required.

Skill and Education:
- High school diploma or equivalent (required)
- Previous experience in reception, office administration, or facilities support (preferred)
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams)
- Comfort managing email inboxes and scheduling systems
- Fluency in English (verbal and written); bi-lingual ability a plus
Physical Demands:
- Required Constantly: Walking, standing, sitting.
- Required Occasionally: Reaching above the shoulder and lifting 5-25 pounds (boxes of supplies or mail), pushing and pulling.
Compensation: $24.00 - $26.00 an hour.
