
Account Coordinator, Direct Mail
Job Description
This is a temporary, salaried and benefits-eligible position for a limited period ending no later than November 6, 2026. Potential for extension of contract or offer of continued employment following the end date of said contract is not guaranteed, however may be discussed as the end date approaches. Extension of contract or offer of continued employment is contingent upon business need.
Successful candidates will be responsible for:
- Providing high-quality project management across multiple initiatives at once;
- Managing internal and client-facing schedules including building, real-time updates when changes are needed and ensuring deadlines are met. Responsible for knowing the status of all campaign projects and trafficking components according to deadlines and reporting during meetings;
- Coordinating and assisting with quality control for the creative review process for copy and art both internally and with the client, including edits and versioning copy as needed;
- Serving as point person for assigned production-related items: putting together spec sheets for print costs/bids and responsible for quality control of vendor proofs, setups, and insertion samples;
- Assisting with coordination, management, and follow-up of client calls;
- Scheduling client meetings and assisting in the preparation of meeting materials;
- Providing timely and accurate responses to client requests (including but not limited to: meeting recaps and procedural requests);
- Communicating tactical details about projects to internal teams, vendors and clients;
- Supporting in achieving clients’ fundraising and engagement goals;
- Providing top-quality customer service to clients, contributing to day-to-day client satisfaction;
- Assisting in the creative process by scheduling writers, liaising with designers, tracking edits across stakeholders, contributing to brainstorming, conducting research, and scheduling kickoff meetings with clients; and
- Ensuring statistical reporting is accurate and timely through campaign data entry and quality control.
Must-have qualifications:
- One to three years of general work experience in a related field, including past internships and part-time work;
- Passion for good causes, whether nonprofit, candidate, or other;
- Excellent process management and linear thinking skills: planning, prioritizing, multi-tasking;
- Excels in attention to detail and quality control accuracy, including proofreading;
- Strong quantitative and logical reasoning skills, with working knowledge of basic statistics and Excel/Sheets formulas;
- Ability to juggle and multitask on multiple projects with myriad stakeholders in a deadline-driven environment;
- Strong written and oral communication skills;
- Ability to collaborate with colleagues internally and externally;
- Willingness to take initiative and use good judgment to resolve issues; and
- High proficiency in Microsoft (Excel, Word, PowerPoint) and Google, (Sheets, Docs, Slides).
Nice-to-have qualifications:
- Experience with a nonprofit, political organization, political campaign, or interactive marketing company is strongly preferred;
- Client management experience is a plus; and
- Background in direct mail communications, fundraising, and/or marketing, including a basic understanding of direct mail production processes.
