Job Description
Big Bend Hospice (BBH) is your “Hometown Hospice,” providing compassionate care to the Big Bend region for over 40 years. Guided by our values of respect, excellence, integrity, accountability, and compassion, we are seeking an Administrative Services Coordinator to serve as the welcoming face and voice of our organization. This role is essential in creating a positive first impression while supporting the day-to-day administrative operations of our team.
The ideal candidate for the Administrative Services Coordinator role is professional, organized, and customer-focused, with a strong ability to multitask in a fast-paced environment. This individual will serve as the first point of contact for visitors, patients, and callers, ensuring all interactions are handled with warmth, efficiency, and professionalism. They will also support internal operations through administrative tasks, coordination, and front desk oversight.
Position Duties and Responsibilities:
The Administrative Services Coordinator responsibilities include, but are not limited to the following:
• Serve as the first point of contact by answering incoming calls and greeting visitors in a courteous and professional manner.
• Operate a multi-line phone system, accurately routing calls and taking messages as needed.
• Provide coverage for front desk operations during lunches, breaks, and staff absences.
• Respond to general inquiries from patients, families, visitors, and staff.
• Monitor and maintain the front lobby to ensure a welcoming and organized environment.
• Process incoming and outgoing mail, deliveries, and communications.
• Maintain records of front desk donations, including monetary and in-kind contributions.
• Assist with administrative support tasks to ensure efficient office operations.
• Train PRN and new reception staff and maintain the front desk procedures manual.
• Maintain confidentiality and handle sensitive information with professionalism.
• Perform other duties as assigned.
Work Schedule:
• Typically Monday–Friday during standard business hours. 8:00 AM - 5:00 PM
• Full-time position; schedule may vary based on organizational needs.
Education & Experience:
• High school diploma or equivalent required.
• Prior office, administrative, or clerical experience preferred.
• Previous experience in a healthcare environment preferred.
• Proficient computer skills required.
