Salary Range: $57,000 - $60,000 CAD per annum

Position Summary
The Operations Support role plays a critical part in ensuring the smooth day-to-day functioning of clinic operations. Working closely with the Clinic Manager, this position supports clinical programs, operational workflows, and business initiatives while maintaining a high standard of patient experience. The role requires strong collaboration, problem-solving, and administrative capabilities to drive operational efficiency and support the Medical Operations team.
What you will be doing
This position will report directly to the Clinic Manager. You will be expected to ensure adequate coverage and long-term stability of the clinic functioning.
Maintain high client service experience standards by monitoring process operations.
Special Projects (including but not limited to):
- Collaborate and support special projects and initiatives as required
- Employee Relations and Responsibilities
- Determine and support needs of Medical Operations team
- Track performance measures for Medical Operations team (EMR audits, referral follow-ups, email response time etc)
- Attend operations huddles
- Identify and implement workflow efficiencies
- Manage client recovery
- Assigned duties and special projects (including but not limited to):
- Maintain clear and accurate operations documents/procedures for reference purposes
- Ensure compliance with company standards and procedures
- Build and maintain strong relationships through regular communications
- Provide guidance to internal teams to achieve performance targets
- Help to identify problems in medical operations process and resolve them in quickly and timely manner
- Event planning/updating employee demographics spreadsheet.
- Updating pricing for Specialized Tests and Vaccines as required.
- Medical Billing and reconciliation of AHCIP Billing Reports
- Equipment/Supply/Business Card Ordering
- Maintain and update Ring Central phone script & Phone Cheat Sheet
- Back up for vacation and/or sick coverage to the Facility Operations Coordinator
- Accounting
- Monthly Bank Deposit
- Mark incoming cheques as paid and attaching receipt
- Making payments in POS for corporate clients as requested by Payables.
- Medical Device Reprocessing
- Assist with Medical Device Reprocessing as required
- Assist with daily, weekly, & monthly maintenance of autoclave
- Monitor Reprocessing supplies to ensure stock level are maintained
- Information Technology (including but not limited to):
- Knowledge of the EMR (CHR)
- Exam templates – create and update
- Smart Forms – archive existing, update and create new, as required
- Monitor and maintain lists within system, ie, doctors, medications, pharmacies
- Back up to Operations Coordinator as main liaison for the medical team with Telus Health Solutions Help Desk
- Support other departments that require EMR support and projects
- Compile various reports, as needed
You have
- Experience in healthcare operations, medical administration, or a similar environment
- Familiarity with EMR systems (CHR experience is an asset)
- Strong organizational skills with the ability to manage detailed information
- Excellent problem-solving skills and ability to work independently
- Strong communication and interpersonal skills
- Ability to multitask and prioritize in a fast-paced environment
- High level of accuracy and attention to detail
- Proficiency with multiple software systems and adaptability to new tools
