Job Description

Junior Project Manager

The Junior Project Manager supports the successful delivery of Fire projects by providing administrative and operational coordination to the installation team. This role works closely with Project Managers, technicians, subcontractors, and the Sales team to ensure projects are delivered efficiently, on time, and in compliance with project requirements while maintaining high levels of customer satisfaction.

Key Responsibilities

Sales to Project Conversion

  • Acknowledge customer orders and introduce the assigned Project Manager once projects move into delivery

  • Close iSales and Zoho tickets and enter project details into Pronto

  • Create and maintain project folders and ensure documentation from sales is properly filed

  • Support the Sales team with contract administration and project onboarding

Project & Operational Support

  • Raise purchase orders, receipt supplier invoices, and manage credits or minor PO adjustments

  • Assist with defect and compliance-related repair quotations

  • Respond to customer enquiries and service requests

  • Coordinate communication between Project Managers, technicians, subcontractors, and internal teams

  • Schedule technicians, coordinate site access, and process work orders

  • Assist with equipment transfers from the warehouse to project sites

  • Support project invoicing queries with Project Managers and the Installation Manager

Project Administration & Closeout

  • Maintain project documentation and records within company systems (Pronto, CRM, and customer portals)

  • Enter Project Manager and technician timesheets and assist with weekly completion monitoring

  • Coordinate routine testing of contracted sites

  • Ensure installation projects are properly handed over to service, including completion documentation and customer notification

  • Archive completed project documentation

Environment, Health & Safety (EH&S)

All employees must comply with company EH&S policies, procedures, and regulatory requirements. This includes conducting risk assessments prior to work, wearing appropriate PPE, reporting incidents or hazards, participating in safety training and toolbox talks, and supporting the organisation’s EH&S objectives.

Managers are responsible for implementing the EH&S management system within their area, consulting with employees on changes affecting safety, and ensuring EH&S requirements are considered in project planning and pricing.

Business Ethics & Compliance

Employees must act with honesty and integrity in all business dealings and comply with the company’s Code of Ethics and related policies. Open communication and the appropriate escalation of concerns are expected.

Experience

  • Project administration and customer service experience (mandatory)

  • Experience with customer portals and major clients (mandatory)

  • Minimum 2 years’ experience in a fast‑paced administrative or service environment

  • Experience using ERP systems (Pronto preferred) and CRM systems

Licences

  • Driver’s Licence (mandatory)

  • Mechanical or similar engineering degree is adventitious
