Job Description

ABOUT THE ROLE

We are seeking an Administrative Assistant to join our team supporting N3B! This position is full-time, temporary, and will be based out of Los Alamos, New Mexico. This role is anticipated to be short-term (4 - 5 months).

Responsibilities

  • Provide direct support to the Documented Safety Analysis (DSA) Team.

  • Support the DSA team with safety-based documentation for the implementation of the new DSA as defined in this Statement of Work (SOW).

  • Multi-task and uses strong communication skills and an upbeat attitude.

  • Assist management and team members by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail.

  • Must be comfortable with computers, general office tasks, and excel at both verbal and written communication.

  • Schedule and confirm meetings for the DSA team.

  • Maintain calendars.

  • Operate office equipment, such as computers, copiers, or phone systems and arrange for repairs when equipment malfunctions.

  • Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material.

  • Operate electronic mail systems and coordinate the flow of information, internally or with other organizations.

  • Compose, type, and distribute meeting notes, routine correspondence, or reports, such as presentations, statistical, or monthly reports.

  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; work with administrative staff to place orders for supplies; verify the receipt of supplies.

  • Conduct searches to find needed information, using such sources as the Internet.

  • Complete forms in accordance with company procedures.

  • Prepare and assist with department presentations.

  • Manage projects or contribute to team effort by accomplishing related results as needed.

  • Handle sensitive information in a confidential manner.

  • Prepare and update binders for meetings; print hard copies of documents.

  • Coordinate luncheons as needed, travel to local vendors to pick-up lunch.

  • Ability to travel to other sites for business needs.

Requirements

  • Education & Years of Experience – High School Diploma and 2+ years of relevant experience.

  • Citizenship – To be considered, you must be a United States (U.S.) citizen due to the federal nature of the work.

  • Clearance – To be considered, you must be able to obtain and maintain a government issued clearance, if needed.

  • Must have prior administrative assistant experience.

  • Must be comfortable with computers, general office tasks and excel at both verbal and written communication.

  • Experience scheduling and maintaining calendars.

  • Experience operating office equipment, such as computers, copiers, or phone systems and arrange for repairs when equipment malfunctions.

  • Experience setting up and managing paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material.

  • Experience operating electronic mail systems and coordinate the flow of information, internally or with other organizations.

  • Ability to compose, type, and distribute meeting notes, routine correspondence, or reports, such as presentations, statistical or monthly reports.

  • Prepare and assist with department presentations.

  • Advanced skills with MS Office suite.

About the Site

N3B manages the Los Alamos Legacy Cleanup Contract for the U.S. Department of Energy Environmental Management’s Los Alamos Field Office, which is responsible for cleaning up contamination that resulted from LANL operations before 1999 and packaging and shipping radioactive and hazardous waste off-site for permanent disposal (n3b-la.com).
