Aledo ISD is seeking a Human Resource Specialist

 

Primary Purpose:

Support district compliance efforts by monitoring certification, licensure, and highly qualified status for applicants and employees. Manage applicant and personnel records with a high level of accuracy, confidentiality, and organization. Communicate effectively with internal and external stakeholders to support efficient HR operations.

 

Qualifications:

Education/Certification:

High school diploma or GED

 

Special Knowledge/Skills:

Skilled in using modern workplace technology (e.g., spreadsheets, shared documents, HR systems)

Highly organized with strong attention to detail and data accuracy

Strong communication and collaboration skills

Comfortable working with data, including basic calculations and reporting

 

Experience:

Three years of experience in administrative support or office operations; experience in a school district or public education environment preferred 
 

Major Responsibilities and Duties:

Certification, Highly Qualified Status, and Licensing

  • Verify and maintain accurate records of employee certification, licensure, and highly qualified status in alignment with state and federal requirements for assigned employee groups.
  • Monitor certification status for assigned employee groups and proactively notify employees and supervisors of upcoming expirations, deficiencies, or renewal requirements.
  • Process applicants for assigned employee groups.
  • Collaborate with campus and department administrators to ensure proper placement and assignment of staff based on credentials.
  • Assist with audits, including documentation and reporting related to certification and compliance.
  • Compile information and prepare reports as needed.


Records, Reports, and Correspondence

  1. Prepare and manage recruitment materials and new hire onboarding packets, ensuring all required documentation is complete, accurate, and timely.
  2. Input, update, and maintain personnel information within the HRIS, ensuring data accuracy and proper digital recordkeeping for all employees.
  3. Organize and maintain electronic personnel files, including uploading, indexing, and auditing documents to ensure compliance with record retention requirements.
  4. Generate, prepare, and distribute routine and specialized correspondence, including employment letters, contracts, and reasonable assurance notifications, using district systems and digital tools.
  5. Process criminal history record information in accordance with state requirements, including initiating background checks and coordinating fingerprinting appointments


Employee Exit Processing

  1. Manage all resignation and termination processes, including exit emails, surveys, and system deactivations.
  2. Process and scan resignations for approval and notify the appropriate personnel.
  3. Pull and move I-9s for terminated staff and update records accordingly.
  4. Review and update termination lists; notify the HR Director of any negative survey feedback or trends.
  5. Process end-of-year service records and all mid-year service record requests.
  6. Vacate positions of exiting employees in PMIS.
  7. Monitor and maintain employee fingerprinting subscriptions, including tracking renewals, updating records, and removing subscriptions for separated employees in a timely manner.
  8. Compile and prepare reports related to staffing, compliance, and personnel data for internal use and state reporting.
  9. Respond to records requests, employment verifications, and unemployment claims in a timely and professional manner.
  10. Ensure all records, reports, and correspondence are handled with a high level of confidentiality, accuracy, and attention to detail.
  11. Support audits and compliance reviews by providing accurate documentation and personnel records as requested.

     

File Management

  1. Maintain and manage both electronic and physical personnel records, ensuring accuracy, organization, and secure storage.
  2. Compile, update, and safeguard all required HR documents, reports, and records in accordance with district procedures and confidentiality standards.
  3. Process requests for official district records, including retrieval, reproduction, and distribution in a timely manner.
  4. Prepare and maintain employee service records, ensuring completeness and compliance as assigned.
  5. Oversee records retention and destruction processes in alignment with the Texas State Library and Archives Commission guidelines and district procedures.
  6. Conduct annual audits and purging of inactive HR records in accordance with retention schedules.
  7. Collaborate with the payroll department to coordinate and process employee leaves and absences (non-disability and non-workers' compensation) as assigned.
  8. Ensure all file management practices comply with applicable state and federal regulations and district policies

     

Other

  1. Maintain and coordinate schedules and appointments as assigned.
  2. Serve as a first point of contact by welcoming visitors and providing support to employees and applicants, including assistance with applications and required documentation.
  3. Manage incoming communications, including answering calls, responding to inquiries, and directing requests to appropriate staff in a timely manner.
  4. Maintain strict confidentiality of sensitive employee and applicant information in all interactions and processes

     

Supervisory Responsibilities:

None.

 

Mental Demands/Physical Demands/Environmental Factors:

Tools/Equipment Used: Standard office equipment including personal computer and peripherals.

Posture: Prolonged periods of sitting with occasional standing, walking, bending, and reaching.

Motion: Frequent use of hands for keyboarding and operating a computer and other office equipment.

Lifting: Occasional light lifting and carrying (up to 20 pounds).

Environment: Office setting with frequent interruptions and competing priorities; may require extended or flexible work hours during peak periods.

Mental Demands: Ability to manage multiple tasks and priorities in a fast-paced environment; maintain professionalism, attention to detail, and emotional control under stress; and frequent interaction with employees, applicants, and the public requiring strong customer service skills.
