Business Office Secretary/Special Services Assistant
REPORTS TO: Manager of Business Services/Assistant Superintendent for Business & Assistant Superintendent for Special Services
HOURS: 12-month position (2,080 hours), Mon.-Fri., 7:30 A.M. - 4:00 P.M.
(Work Hours/Days may be adjusted during certain summer months)
Job Summary:
BUSINESS OFFICE PERFORMANCE RESPONSIBILITIES:
- Enters fees in fee collection software system
- Completes monthly claim for food service program
- Supports Manager of Business Services with matters related to transportation for outplaced students and McKinney-Vento students
- Gathers information and prepares reports for collective bargaining for certified and non-certified personnel, as requested
- Provides flexible, hands-on project support to the Assistant Superintendent for Business/CSBO and the Manager of Business Services during peak seasonal periods, such as annual budget development, fiscal year-end closeout, audit preparation, and the start of the school year, ensuring timely completion amid heightened demands
- Assists in the preparation and maintenance of department files and records
- Performs all other tasks as directed by the Assistant Superintendent for Business/CSBO and/or the Manager of Business Services
SPECIAL SERVICES PERFORMANCE RESPONSIBILITIES:
- Ensure the efficient operation of programs, procedures, and services within the Special Services Department. Which includes:
- Maintain accurate and current records related to special education eligibility and services, and provide reports when requested.
- Oversee the recording, billing, and reporting processes for hospital/homebound students and assigned personnel, including tutors.
- Maintain records and support correspondence, applications, and tracking for private and public student placements.
- Support the coordination of contractual evaluations and communication with evaluators.
- Manage and support staff access to electronic resources and systems.
- Assist with preschool processes in partnership with the Preschool Parent Liaison.
- Support and maintain records related to Medicaid claims and reimbursement.
- Maintain records for students eligible under McKinney-Vento and support the coordination of supplies and supports.
- Provide organizational and on-site support for Extended School Year (ESY) programming and administrators.
- Perform other duties as assigned by the Assistant Superintendent for Special Services.

Working Conditions:
STARTING SALARY/BENEFITS: $20.50 per hour starting salary; compensation to be determined upon consideration of experience in the role regarding previous job duties; Other benefits, such as paid holidays, vacation days, health insurance, and life insurance.
