St. Vincent’s Medical Center in Bridgeport has more than 3,200 employees. It includes a 473-bed community teaching hospital, a 76-bed inpatient psychiatric facility in Westport, a large multispecialty provider group, and special needs services for adults and children. St. Vincent’s is the first hospital in Fairfield County to be integrated into the Hartford HealthCare network and is the system’s second-largest hospital.
Position Summary:
The Project Specialist performs a full range of varied, multi-skilled projects, secretarial, clerical, and administrative support under general direction that requires creativity, problem solving, and confidentiality to ensure that the needs of the internal and external customer are met. This position supports the initiation, planning, execution and completion of projects as well as the administrative functions for large and complex business/clinical functions, as well as daily administrative support.
Position Responsibilities:
· Supports the needs of the organization by coordinating and overseeing special projects, which includes overseeing the work of others as needed.
· Facilitate planning and/or management for support services and strategic initiatives.
· Research and makes recommendations to improve or develop programs, tools, and interventions to support the work and goals of the organization.
· Researches and implements processes to measure the achievement of project or organizational goals and provides timely reports on key metrics.
· Develops and maintains effective relationships and communication flow with business partners, both internal and external.
· Coordinates completion of projects and information-gathering activities of reporting units.
· Initiates activities and uses sound judgment in resolving issues, expeditiously elevating them to a higher authority when needed.
· Coordinates varied and complex processes, determining the most appropriate methods and procedures.
· Contributes to streamlined information flow throughout the organization, initiating proactive and independent research, action, and communications in regards to the activities of the manager.
· Provides efficient, accurate, and timely administrative support to contribute to the success of the Guest Services team(s).
· Creates and prepares reports and correspondence, and formulates summaries and analysis of information, including consolidation of input from reporting.
· Coordinates events, meetings, and travel. Manages calendars and scheduling; prepares meeting agendas, presentations, and summaries.
· Manages sensitive and confidential information and issues impacting the organization.
· Functions as an interdepartmental liaison for supported business areas.
· Oversees, monitors, and responds to correspondence.
· Other Duties as assigned.
Qualifications
Education:
· Bachelor’s degree or equivalent combination of education and/or experience.
Work Experience:
· Minimum 2 - 3 years’ experience in related field and demonstrated proficiency in administrative support practices.
· 3-5 years’ experience in Project Management.
· 3 to 5 years’ administrative experience working in Microsoft Office platforms with proficiency in Outlook, Excel, Word, SharePoint and PowerPoint
Knowledge, Skills and Ability Requirements:
· Strong/Advanced computer skills and robust use of Microsoft Office, Outlook, Excel, Word, SharePoint, PowerPoint, PeopleSoft, Smartsheet, audiovisual equipment, and other systems.
· Excellent communication and interpersonal skills required.
· Strong collaboration and teamwork demonstrated in sharing knowledge and influencing best practices.
· Able to manage multiple competing priorities within a fast-paced and dynamic environment.
· Demonstrates flexibility and responsiveness in interactions with employees at all levels.
