Job Description

Are you the kind of person who notices when the coffee is low, the printer is jammed, or the meeting room needs a refresh—and takes care of it before anyone else even realizes? We’re looking for a proactive, organized, and friendly Office Administrator/Receptionist to be the heartbeat of our office. From managing mail and coordinating maintenance to keeping snacks stocked and meetings running smoothly, you’ll be the go-to person who keeps everything (and everyone) on track.

If you thrive in a fast-paced environment, love creating order out of chaos, and enjoy being the friendly face that keeps the office humming, we’d love to meet you.

Principal Duties and Responsibilities

  • Serve as the first point of contact for visitors and incoming calls.
  • Manage office supplies, snacks, and kitchen inventory; reorder as needed.
  • Coordinate office maintenance and liaise with building management and vendors.
  • Sort and distribute incoming mail and packages; manage outgoing shipments.
  • Schedule and organize meetings, including room bookings, catering, and materials.
  • Support internal events, team lunches, and company celebrations.
  • Support other office admins with supply orders
  • Maintain a clean, organized, and welcoming office environment, including keeping the kitchen and common areas tidy throughout the day (wiping surfaces, restocking, and ensuring items are put away).
  • Serve on the office engagement/entertainment committee, helping plan and coordinate employee events and activities.
  • Provide general administrative support to staff and leadership as needed.

Qualifications:

  • High school diploma or equivalent; associate or bachelor’s degree preferred.
  • 1-3 years of previous experience in office management.
  • Proficiency in office procedures and equipment.
  • Strong customer service skills and the ability to build positive relationships with colleagues and clients.
  • Excellent communication skills, both verbal and written.
  • Detail-oriented with the ability to multitask and prioritize tasks efficiently.
  • Must be able to work independently, take initiative, and stay motivated without constant oversight.
  • Must be able to lift 25–35 pounds as part of occasional office organization or supply management duties.
  • Soft Skills: communication, organizational skills, time management, attention to detail, adaptability, problem-solving, tech savviness, collaboration and professionalism.

Work Environment:

Step into a dynamic work environment that champions productivity and collaboration. You’ll find yourself in a supportive setting where your organizational skills and proactive approach are highly valued. Embrace a culture that encourages teamwork and fosters innovation.

Salary and Benefits:

  • Expected salary commensurate with experience.
  • Eligible for annual bonus plans
  • 401(K) retirement plan with matching company contributions
