SUMMARY:
The Leave Manager is responsible for the end-to-end administration and oversight of all employee leave and time-off programs, ensuring compliance with federal, state, and local regulations as well as internal policies. This role serves as the subject matter expert for leave management, working closely with third-party administrators, Payroll, HR Business Partners, Legal, and Managers to ensure accurate, timely, and compassionate handling of employee leaves and absences. The Leave Manager ensures consistency, compliance, and an effective employee experience while minimizing operational and compliance risk.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Leave Administration: Administer and manage employee leave programs including but not limited to: UNUM Leave Administration, FMLA, Corporate Family Leave, Military Leave, Disability, and unpaid state leave programs; coordinate with third-party administrators, HR Partners, Payroll, and managers to ensure timely and accurate processing.
  • Workers’ Compensation: Coordinate workers’ compensation leave cases with internal partners and external carriers, ensuring proper documentation, leave coding, and alignment with payroll and attendance tracking.
  • ADA & Accommodations: Manage ADA accommodation requests, including engaging in the interactive process, reviewing medical documentation, partnering with Legal and business units for decisioning, documenting approvals, and aligning ADA with FMLA, disability, and workers’ compensation leaves.
  • Additional Leave Types: Administer Bereavement Leave, Court Attendance Leave, and Witness Leave in accordance with policy and legal requirements, ensuring accurate documentation and payroll coordination.
  • Time Off Programs: Administer Time Off programs including PTO, VTO, PWTO, and Voting Time Off; ensure accurate tracking, reporting, and system maintenance.
  • PTO Governance: Track compliance with PTO usage requirements and administer the PTO Donation Program, including eligibility review, approval processing, and usage tracking.
  • Compliance & Reporting: Ensure leave and time-off programs comply with federal, state, and local regulations; maintain accurate records in HRIS and leave systems and support audits, reporting, and trend analysis.
  • Employee & Manager Support: Serve as a subject matter expert and escalation point for leave and time-off inquiries, providing guidance to employees, managers, and HR Partners while maintaining confidentiality and compliance.
  • Perform other duties as may be assigned.

EDUCATIONAL AND WORK EXPERIENCE REQUIREMENTS:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent work experience.
  • A minimum of 5 years of progressive experience in leave management, HR operations, or employee relations preferred working in a high paced environment.
  • Demonstrated experience administering FMLA, disability, ADA, workers’ compensation, and state leave programs.
  • Experience working with third-party leave administrators (e.g. UNUM or similar vendors)
  • Preferred Proficiency with Workday
  • Proficiency using all Microsoft suite products – Word, Excel, PowerPoint, Outlook.

ADDITIONAL/IMPORTANT SKILLSETS:

  • Strong working knowledge of federal, state, and local leave regulations.
  • Exceptional attention to detail and ability to manage complex, concurrent cases.
  • Strong judgment and discretion in handling confidential and sensitive information.
  • Effective communication skills, written and verbal, with the ability to explain complex policies clearly to employees and managers.
  • Proven ability to partner cross-functionally with Legal, Payroll, HRBPs, and external vendors.
  • Analytical mindset with experience reviewing data and identifying trends or risks.
  • Ability to work independently, manage competing priorities, and meet critical deadlines.
  • Customer-focused approach balanced with firm policy enforcement and compliance requirements.
  • Ability to independently evaluate existing processes and drive continuous improvement without extensive direction.
  • Proven ability to create clear, accessible resources and communications (e.g., guides, FAQs, training materials) to improve the employee and manager experience across the leave lifecycle.

PHYSICAL REQUIREMENTS:

To perform this job successfully, the employee must be able to perform each essential job duty satisfactorily. All employees must be able to communicate face to face or through technology with or without reasonable accommodation. Employee will be in an office environment (well-lighted, heated, and air-conditioned) typically stationed at a desk or table. Employee will be asked to sit and stand for various increments of time, and to lift/push up 10 lbs. Clerical office duties on various forms of technology are required. All positions that have lending responsibilities must comply with all requirements under the SAFE ACT, as well as the Credit Union’s policies and procedures related to the SAFE ACT. This includes an obligation on the employee’s part to ensure that NMLA registration pertaining to the SAFE ACT is kept current. The employee must notify the Credit Union within 30 days of any changes that need to be reflected on the NMLS registry.
