The information below describes the general nature and level of work being performed by individuals assigned to this position. It is not intended to be an exhaustive list of all responsibilities, duties, and skills required for this position.
- Oversees the daily operations of the Swim School program by planning, organizing, and evaluating program offerings to ensure safe, efficient, and high-quality instruction for participants of all ages and abilities.
- Coordinates swim school schedules, instructor assignments, and facility space to maximize program efficiency while meeting community demand and maintaining appropriate instructor-to-student ratios.
- Supervises Swim School staff by recruiting, interviewing, hiring, onboarding, training, scheduling, evaluating performance, coaching employees, monitoring certifications, and implementing corrective or disciplinary action when necessary.
- Serves as the primary point of contact for Swim School participants by responding to phone calls, emails, and in-person inquiries; assisting with class placement; resolving customer concerns; and providing exceptional customer service.
- Monitors program enrollment, attendance, instructor availability, and waitlists to make recommendations for class offerings, staffing levels, and program improvements.
- Maintains accurate program records, reports, certifications, payroll documentation, and other administrative functions related to Swim School operations.
- Ensures compliance with all aquatic safety standards, Emergency Action Plans (EAPs), risk management practices, and departmental operating procedures while promoting a safe and welcoming environment for participants, guests, and staff.
- Reviews customer feedback and participation data to identify opportunities for program growth and continuous improvement.
- Serves as Manager on Duty by opening and closing the facility, cash handling, reconciliation of daily transactions, responding to emergencies, resolving operational issues, supervising staff, and ensuring compliance with departmental policies, procedures, and safety standards.
- Enforce facility rules and policies promptly and courteously, while coaching staff to do the same.
- Support budget tracking, supply ordering, and report preparation while assisting in meeting facility financial goals and business plans.
- Ability to work a varied schedule, including nights, weekends, holidays, and special events.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment.
- Maintains regular and punctual on-site attendance to perform essential job duties.

Education & Experience
Work requires broad knowledge in a general professional or technical field. A typical way to obtain the required qualifications would be:
- Bachelor’s degree plus one (1) year of relevant work experience OR
- Associate's degree plus five (5) years of relevant work experience OR
- High School Diploma plus (9) years of relevant work experience
Certification and Other Requirements
- Valid Class C Driver's License
- CPR for the Professional Rescuer or equivalent, or ability to obtain within the first 30 days of employment.
- Certified Pool Operator or Aquatic Facility Operator preferred or ability to obtain within 1 year.
- The following experiences and certifications are not required but are highly preferred in addition to the required certifications:
- Swim instruction, coaching, and supervisory experience
- American Red Cross Water Safety Instructor or Instructor Trainer Certification or equivalent
- This position has various work schedules, including working days, evenings, and weekends. This position may also work at secondary locations.

- City of department policies, procedures, and customer service standards.
- Facility operations, equipment use, and basic maintenance.
- Marketing strategies, sponsorship development, and program promotion.
- Registration systems, membership processing, and point-of-sale operations.
- Budget tracking, recordkeeping, and basic financial reporting.
- Risk management, safety protocols, and emergency response procedures.
- Supervisory practices, training, and staff direction methods.
Skilled in:
Planning, promoting, and managing recreational athletic programs and events.
Delivering high-level customer-service in a fast-paced public environment.
Communicating effectively patrons, coworkers, and professional service providers.
Responding to customer inquiries and resolving concerns diplomatically.
Training, guiding, and supporting part-time and seasonal staff.
Performing administrative duties with accuracy and attention to detail.
Using facility management and registration software systems (e.g. RecTrac or similar).
Managing facility space scheduling and equipment distribution efficiently.
Contributing to a team-oriented culture that reflects the City's PRIDE values.
