Job Description
Work Schedule: 15-20 hours per week; hybrid eligible; shifts based on operational need of the organization.
OVERVIEW
Established in 1963, Associated Students, Inc. (ASI) is a non-profit corporation guided by a student board and managed by full-time professional staff. ASI is a part of the Cal Poly Pomona Division of Student Affairs with a dashed reporting line to Administrative Affairs. ASI serves the entire campus population, including over 26,000 students, by providing opportunities for student engagement, student employment, and a multitude of programs and services such as recreation and wellness, student union and activities, student government, and childcare. ASI operational support areas include human resources, financial services, information technology, facilities management, and marketing. The Cal Poly Pomona Children’s Center is a high-quality preschool program that is operated jointly through a partnership between the Associated Students Inc. (ASI) and Cal Poly Pomona. The Children’s Center opened in 1974 to help support student parents achieve their educational goals while attending Cal Poly Pomona. The Children’s Center places a high value on intentional and respectful relationships among staff, our families, and the children. Our full-time and part-time staff are an integral part of our program as they perform a variety of tasks related to maintaining the children’s Learning Environments, providing active supervision of the children, and providing professional office support so that the needs of families and CPP students providing services at the center are met
POSITION DEFINITION
Under the general supervision of the Children’s Center Director, the Children’s Center Supervisor provides oversight and supervision of all part-time operational staff while supporting the Director in overall management of the Children’s Center day-to-day office and administrative operations. The Supervisor position performs routine and complex assignments requiring specialized knowledge, prior relevant experience, and considerable independent judgment and decision-making.
ESSENTIAL DUTIES
- Assists with the overall management of the Children’s Center day-to-day office operations including high-quality customer service, safeguarding of minors, effective utilization of administration software systems
- Assists with the recruitment, hiring, training, development, evaluation, and coaching of the Children’s Center Assistants, Office Administrators, and Lead Office Administrators
- Provides supervision, scheduling, and time and attendance for part-time staff
- Manages multiple concurrent projects and meets required deadlines
- Supports all areas of office operational oversight to fill in, as needed
- Assists with the development and implementation of administrative operational strategies
- Maintains a high standard of care and customer service
- Remains alert to security and safeguarding of children in and around the Children’s Center, taking immediate corrective action when appropriate
- Follows program policies and procedures including any regulatory mandates
- Prepares and maintains appropriate activity, accident, injury, and incident reports, as needed
- Provides emergency care and treatment as required, in a calm and effective manner, until the arrival of emergency medical services
- Attends and assists in development and execution of orientations, training and student development
- Performs other related duties, as assigned
QUALIFICATIONS
- Certification in Pediatric CPR/AED and First Aid within 30 days of employment (provided by ASI)
- CA Food Handler Certification within 30 days of employment (provided by ASI)
- At least six months of leadership or supervisory experience
- At least six months of experience working in an office setting
- Experience with general office software, including but not limited to, Microsoft Office (Word, Excel, PowerPoint)
- Experience (paid or unpaid) working with children 5 years and younger preferred
- Ability to work effectively in a team environment
- Ability to perceive children’s needs and develop positive relationships
- Ability to communicate sensitive information with tact and consideration
- Ability to adapt willingly to frequent changes in activity, priorities, and/or work schedules.
- Ability to follow written and verbal instructions
- Ability to anticipate and diffuse problems and disruptive situations
- Ability to satisfactorily complete a background check (including a criminal records check)

EMPLOYMENT ELIGIBILITY
Employment with ASI is open to any Cal Poly Pomona student who is eligible to work and has the legal right to work in the United States. In addition, student employees must be currently enrolled in a minimum of 6.0 units (undergraduate) and 4.0 units (graduate), international student employees must be enrolled in a minimum of 12.0 units (undergraduate) and 6.0 units (graduate) at the end of the add-drop period. Student employees are required to have a minimum overall and Cal Poly Pomona GPA of 2.0 and be in good academic standing with the University. Individuals enrolled only in Extended University are not eligible for hire. Exceptions to the unit load requirement are allowed during the summer term and for students who have applied for graduation for the current term.
WORK ENVIRONMENT
While performing the duties of this job, the employee is frequently required to sit, talk, and hear; manual dexterity, eye-hand coordination, and verbal communication; use of office equipment: telephones, calculator, copier and fax. Must be able to walk, stand, bend, and lift up to 45 pounds.
MANDATED REPORTING REQUIREMENT
In compliance with the California Child Abuse and Neglect Reporting Act (CANRA) and the CSU Executive Order 1083, each ASI employee is designated as a mandated reporter and is required to sign an Acknowledgment of Mandated Reporter Status and Legal Duty to Report Child Abuse and Neglect.
