Position Summary
The Resident Life Programming Assistant supports the daily operation of the Resident Life department by ensuring a positive, organized, and engaging experience to improve residents’ quality of life. This role provides administrative, logistical, and direct service support, including assisting the activities coordinator, managing digital engagement platform, coordinating the daily transportation schedule, supporting internal systems such as billing, and enhancing the satisfaction of residents through responsive and compassionate service.
ESSENTIAL DUTIES AND RESPONSIBILITIES (*CF indicates Critical Function)
- Assisting with the planning and coordinating of all Res Life activities, at the direction of the Director of Res Life, the Res Life Manager, Res Life Activity Coordinator, and Fitness Coordinator (*CF)
Including:

- Serve as content & user administrator for Resident Engagement Platform (*CF)
- Utilize digital booking software to organize room assignments (*CF)
- Primary Admin User & Trainer for Emergency Messaging through digital platform (Go-Icon) (*CF*)
- Encourage resident participation
- Ensure content is updated timely and accurate daily (*CF)
- Assisting in creating a program of activities that meet residents' needs
- Acting as back-up to, and is fully trained on the tasks and duties of Concierge and Reception, and fills in as scheduled and requested (*CF)
- Maintaining records of activities and resident participation levels
- Obtaining feedback to improve events
- Reporting medical concerns or observations (*CF)
- Presenting a professional, pleasant demeanor at all times to residents, guests, and vendors
- Coordinating and managing transportation scheduling (*CF)
Including:
-
- Organizing resident sign-ups for outings and appointments
- Communicating schedules with drivers and relevant staff
- Maintaining accurate transportation logs
- Drafting, creating and distributing internal and external written communication, as requested
- Completing all required training and in-services
- All other duties as assigned

Qualifications
- High school diploma, or HSE
- Valid NYS Drivers’ License, required
- CNA certification, preferred
- Excellent customer service and ability to multitask
- Demonstrated knowledge of appropriate skills for communicating by telephone and in person with individuals of all ages, especially the geriatric population
- CPR Certified, preferred
- Ability to read and comprehend instructions, short correspondence, and memos
- Demonstrated ability to function within a Windows based computer program
DEgree of travel
Occasional off-site events, meetings, seminars, and conferences
Disruption to Routine
Must adapt to frequent schedule changes, department workload, and resident needs. Possible overtime

Qualifications

High school diploma, or HSE

Valid NYS Drivers’ License, required

CNA certification, preferred
