The Opportunity:
The Office Administrator provides quality service and support to the general public, clients and staff. This position is responsible for ensuring the office runs smoothly while supporting the efforts of the leadership team. This includes internal and external event management, operational and administrative support, marketing liaison responsibilities and onboarding of new employees.
In This Role You Will Execute On:
Greet, welcome and direct visitors to the appropriate person and/or location.
Answer, screen and forward all incoming calls.
Receive, sort and distribute daily mail/deliveries
Maintain office security by following safety procedures and controlling access via the reception desk.
Provide administrative support to team.
Assist with scheduling and coordination of internal and external meetings.
Manages facility and equipment needs; working with the property management company to ensure our space is properly maintained and safe and working with outside vendors to ensure our equipment (office and kitchen) is in working order.
Successful internal and external event planning and meeting coordination. Internal meeting coordination includes setting-up catering and equipment needs and clearing the room after the meeting.
Provide administrative support to all employees; coordinates and lead projects, quickly addresses and solves problems and concerns.
Corporate Liaison for local IT administrative needs
Accounting Liaison - Manage accounting functions for the office; some examples: scan invoices and reconcile monthly visa statement.
