Manager, Xactly Administration
Wolters Kluwer is seeking an experienced and results-driven Manager – Xactly Administration to join the Incentive Compensation & Planning Center of Excellence (COE). This team supports a complex global environment spanning 5 divisions, 50+ subsidiaries, and 3,000+ sellers across 140+ countries.
In this role you will lead the administration and optimization of multiple Xactly instances, ensuring accurate, scalable, and compliant incentive compensation operations. The ideal candidate will combine deep domain expertise in Sales Compensation (ICM) with strong technical and leadership capabilities to drive process excellence and transformation.
Key Responsibilities
Xactly Platform Administration
- Serve as the lead administrator for Xactly Incent across multiple instances
- Configure, maintain, and enhance compensation plans, rules, and organizational hierarchies
- Manage system upgrades, releases, and feature implementations
- Ensure platform scalability and alignment with evolving business needs
Incentive Compensation Operations
- Oversee end-to-end commission calculation processes ensuring accuracy and timeliness
- Manage monthly commission cycles, including validation, approvals, and payroll readiness
- Govern 500+ compensation plans and complex business rules
- Ensure compliance with internal policies and audit requirements
Data Management & Integrations
- Manage integration between Xactly and upstream/downstream systems (CRM, ERP, HRIS)
- Oversee 90+ data feeds ensuring integrity, completeness, and accuracy
- Monitor and audit data quality, calculation logic, and system performance
Reporting & Analytics
- Develop and maintain dashboards, reports, and analytics to support business decisions
- Provide insights into compensation performance and operational efficiency
Stakeholder Collaboration
- Partner with Sales Operations, Finance, HR, IT, and COE teams
- Act as a bridge between business stakeholders and technical teams
- Support compensation plan design, changes, and governance processes
Process Optimization & Governance
- Establish and enforce best practices, SOPs, and governance frameworks
- Identify process gaps and drive automation and efficiency improvements
- Lead initiatives to standardize and scale COE operations
Team Leadership & Enablement
- Mentor and guide Xactly administrators and analysts
- Provide training, documentation, and user support
- Drive a culture of continuous improvement and operational excellence
Required Skills & Experience
- 8+ years of experience in Sales Compensation (ICM), including platform administration
- Strong expertise in Xactly Incent configuration and administration
- Proven experience managing complex compensation structures and multi-instance environments
- Solid understanding of commission calculations, governance, and dispute resolution
- Hands-on experience with data integration and validation processes
- Strong analytical and problem-solving skills with attention to detail
- Experience working in global, matrixed organizations
Technical Skills
- Advanced Excel and PowerPoint
- Working knowledge of SQL (beginner to intermediate)
- Experience with reporting and analytics tools
Nice to Have:
- Xactly certifications (Administrator, Plan Configuration) or willingness to obtain
- Experience with other ICM tools (e.g., Varicent, SAP Callidus)
- Exposure to COE operating models and large-scale transformations
