Purpose of the role

To manage the executive's schedule, handling correspondence, preparing presentations and reports, and providing other administrative support as needed. 

Accountabilities

  • Management of senior executive members calendars and overseeing their timely responses to meeting invitations and requests.
  • Planning and arranging travel itineraries, including flights, accommodation, and ground transportation, ensuring timely and efficient travel for the executive.
  • Proactively anticipating the needs of the senior executive, prioritising tasks, and ensuring timely completion.
  • Management of day-to-day administrative tasks, such as expenses, maintaining filing systems, and ordering office supplies, annual leave records management, distribution list management and organisation management tasks.
  • Management and facilitation of senior executive members meetings.

  • Consult on complex issues; providing advice to People Leaders to support the resolution of escalated issues.
  • Identify ways to mitigate risk and developing new policies/procedures in support of the control and governance agenda.
  • Take ownership for managing risk and strengthening controls in relation to the work done.
  • Perform work that is closely related to that of other areas, which requires understanding of how areas coordinate and contribute to the achievement of the objectives of the organisation sub-function.

Executive Assistant to the Barclays Europe Chair and Barclays Europe Company Secretary

In this role, you will provide high-level executive support, operating within a fast-paced, highly visible environment with regular exposure to Board members and senior executives across Barclays Europe and the UK. You will manage complex and frequently changing diaries across multiple time zones, ensuring seamless coordination of meetings, committees, and governance forums at the most senior level.

You will play a critical role in supporting Board and executive-level activities, including scheduling and preparing for Board, committee, and governance meetings (e.g. engagement with Company Secretariat and Chairs).

You will take full ownership of end-to-end travel planning, producing detailed itineraries, managing expenses, and ensuring the Barclays Europe Chair and Company Secretary are fully prepared with the right documentation and briefings ahead of all engagements. Acting as a trusted gatekeeper and representative, you will serve as a key point of contact for senior stakeholders, confidently managing communications, prioritising requests, and maintaining strong relationships across a wide network of internal and external partners.

To be successful as an Executive Assistant to Barclays Europe Chair and Barclays Europe Company Secretary, you should have experience with:

  • Proven experience supporting senior executives and Board-level stakeholders, ideally across multiple leaders
  • Expertise in complex diary management, including Board and committee coordination
  • Arrange complex travel itineraries, including visas, flights, hotels and transfers
  • Experience working with senior stakeholders (e.g. Directors, Chairs, Company Secretariat)
  • Confident communicator with excellent stakeholder management and organisational skills.
  • Organised with excellent ability to prioritise, manage colleague and stakeholder expectations and work to tight deadlines.
  • Flexibility and adaptability to varying workload, including working hours and being prepared to provide support for urgent projects.
  • Experience managing Board papers and governance materials.
  • Prepare and amend correspondence, reports and other material, which is frequently highly sensitive or confidential.  Terms may be technical and complex.
  • Discretion handling confidential and sensitive information.
  • Act as the main reference point both in the presence and absence of the Barclays Europe Chair and Barclays Europe Company Secretary.
  • Liaise with colleagues and staff regarding a wide range of ongoing matters.  Monitor progress and ensure all actions and paperwork are co-ordinated in preparation for meetings in line with deadlines.
  • Fluent in French and English (both verbal and written).

This role is located in Paris.

Minimum Salary: 56k Euro.

The minimum salary information above includes only annual full-time equivalent base salary and typically represents the lowest level of pay for this role. The actual pay rate will reflect the responsibility level of the role and experience level of the individual. It does not include any other type of compensation or benefits that may be available.
