Overview & Position Summary

This role provides essential administrative and operational support that enables division leaders and teams to execute key priorities effectively. It serves as a central resource for coordinating processes, managing information flow, and maintaining organized systems across the division. The position supports day-to-day operations that contribute to smooth workflows, timely communication, and alignment with organizational goals.

 

Primary Responsibilities

  • Coordinate division schedules, meetings, and communications to support smooth daily operations.
  • Maintain organized tracking systems, documents, and records to ensure accurate and accessible information for team members.
  • Support division leaders with logistical and operational tasks that contribute to achieving departmental goals.
  • Facilitate the processing and routing of division documentation, correspondence, and operational requests.
  • Monitor and follow up on routine action items to maintain progress and ensure timely completion.
  • Assist with the preparation of reports, summaries, and materials that support business operations and team initiatives.
  • Serve as a point of contact for internal teams, providing information and assistance as needed.
  • Coordinate basic office functions and resources to support a productive and efficient working environment.

 

Education & Experience

Required:

  • High school diploma or equivalent.
  • 1–3 years of relevant administrative or operational support experience.

Preferred:

  • Associate’s degree or equivalent.
  • 3–5 years of relevant experience.

 

Skills & Competencies

  • Strong organizational and time-management capabilities.
  • Ability to prioritize tasks and manage competing deadlines.
  • Effective written and verbal communication skills.
  • Proficiency with office productivity software and digital collaboration tools.
  • Strong attention to detail and accuracy in work output.

  • Ability to maintain confidentiality and handle sensitive information appropriately.

Working Conditions

Work is primarily performed in a general office environment with standard business equipment and technology. Occasional visits to field or construction sites may occur to support division needs. Minimal travel may be required for meetings, training, or company events.

 

Physical Requirements

  • Ability to sit for extended periods while working at a computer or desk.
  • Ability to stand, walk, or move about the office to support administrative tasks.
  • Ability to lift or carry files, office supplies, or equipment up to 20 pounds.
  • Visual acuity to review documents, spreadsheets, and digital content.
  • Ability to operate office equipment such as computers, printers, and telephones.
