Position Summary:
The Administrative Support Specialist provides logistical, technical, and administrative support for in‑person and virtual training events. This role ensures smooth classroom operations, high‑quality learner experiences, and efficient office workflows.
Essential Functions:
- Coordinate logistics for courses, webinars, conferences, and meetings.
- Maintain student records, rosters, attendance, and training documentation.
- Prepare classrooms and virtual environments, including AV, computer setup, and materials.
- Provide technical support for faculty and students on AV systems, computers, and virtual platforms.
- Manage pre‑course communication and distribute learning materials through CSOD, Teams, and SharePoint.
- Support end‑of‑course activities, including certificates, rosters, and classroom reset.
- Report and track facilities and equipment maintenance needs.
- Assist with guest speaker logistics and student accommodations.
- Provide general administrative support, including phones, scheduling, mail, supplies, and records management
- Prepare reports, correspondence, presentations, and data entry tasks.
Qualifications (please add key qualifications specific to the job posting):
- Must be a U.S. Citizen
- Bachelor’s Degree or equivalent experience.
- High school diploma required; Associate’s or Bachelor’s preferred.
- 2+ years of administrative, training, or educational support experience.
- Strong organizational, communication, and customer service skills.
- Proficiency with Microsoft Office, Teams, Zoom, SharePoint, and related systems.
- Experience supporting meetings, webinars, or classroom environments.
