The Executive Assistant provides proactive, high-level administrative and operational support to senior executives, anticipating needs, removing administrative friction, and protecting executive time and focus. This role is a trusted partner that exercises sound judgment, maintains strict confidentiality, and ensures executives can focus on their most impactful strategic work.

What You’ll Do

  • Proactively manage and optimize calendars for senior executives, anticipating needs, resolving conflicts, and protecting time for strategic priorities
  • Coordinate meetings and logistics end-to-end, including scheduling, materials preparation, technology setup, and follow-up on decisions and action items
  • Serve as a trusted gatekeeper and communications partner, screening requests and ensuring appropriate access and follow-through
  • Manage executive travel and expense reporting with accuracy, foresight, and attention to detail
  • Leverage AI-enabled tools and strong organizational skills to streamline workflows and improve efficiency
  • Provide high-level administrative and operational support while maintaining strict confidentiality and professionalism

How Success Is Measured

  • Scheduling requests responded to and confirmed within 24 hours (same business day preferred)
  • Zero missed or double-booked executive commitments
  • Meeting notes and action items distributed within 24 hours when applicable
  • Expense reports submitted on time with at least 98% accuracy
