$25.00/hour | Temporary Assignment (Approximate 3 months)

Provides general office, receptionist and clerical assistance provides front desk oversight, office operations coordination, facilities and IT issue management, inventory control, donation oversight, and staff engagement support to ensure a safe, organized, and efficient office environment.

 

Duties and Responsibilities

 

  1. Maintain current knowledge of Samaritas’ programs, services and key employees in order to accurately inform and refer persons requesting service and information.
  2. Perform receptionist duties including answering telephone, routing calls and taking messages, greeting and assisting visitors as required. 
  3. Perform clerical functions such as email correspondence, word processing/typing, assisting with collating packets and mailings, mail sorting and distribution, copying, faxing, ordering supplies, and other general office duties, as required.
  4. Coordinating client reception with front Office Assistant.
  5. Coordinating conference room schedules and conducting facility walkthroughs for cleanliness and functionality.
  6. Create and maintain filing systems relevant to office functions.
  7. Vouchering invoices, as requested, on a daily/regular basis.
  8. Submitting service tickets for issues or equipment needs.
  9. Provide back up for support staff.
  10. Serves as a gatekeeper for donations.
  11. Coordinate or assist with scheduling meetings and general office events, arrange for refreshments/lunches, as requested.
  12. Self-motivated with ability to work independently.
  13. Coordinates staff activities and connections.
  14. Assist with special projects and requests, as needed.

Job Qualifications

 

Education, Training, and Licensure/Certification

 

  • High school diploma or equivalent.
  • Associate’s degree desired.

 

Experience

 

  • One year office administration experience

Knowledge Skills and Abilities

 

  • Ability to read, speak and write fluently. Strong oral and written communication skills.
  • Excellent customer service skills; ability to respond to and appropriately handle telephone calls, inquiries and implement follow-up with the goal to be best in class with excellent customer service, externally and internally.
  • Ability to effectively utilize various Microsoft computer software applications, i.e. Word, Excel (basic knowledge), Outlook, OneDrive, and other software programs.
  • Ability to prioritize, organize and implement tasks and projects with minimal assistance.
  • Ability to display compassion and sensitivity in all situations, being mindful of the Samaritas mission of serving people as an expression of the love of Christ.
  • Ability to adhere to agency confidentiality policy.
