Your Responsibilities:

  • Fleet & Commercial Service Coordination

    • Serve as the primary point of contact for fleet and commercial service customers
    • Coordinate diagnostics, repair approvals, scheduling, and service updates to minimize vehicle downtime
    • Prioritize commercial vehicle repairs to support business-critical timelines
    • Communicate proactively with customers regarding repair status, maintenance recommendations, and estimated completion times
    • Coordinate with technicians and the parts department to ensure efficient repair completion
    • Ensure proper documentation of warranty claims, maintenance programs, billing, and repair approvals
  • Preventative Maintenance & Account Support

    • Monitor vehicle mileage and maintenance schedules to proactively coordinate preventative maintenance services
    • Communicate upcoming maintenance needs to customers to reduce unexpected breakdowns and improve uptime
    • Review service history and usage trends to support effective fleet lifecycle management
    • Conduct regular customer check-ins to ensure service satisfaction and operational efficiency
    • Assist with onboarding new fleet service accounts
    • Support department growth initiatives alongside the Fleet Manager
  • Administrative & Operational Support

    • Maintain accurate fleet account records and service documentation
    • Track service turnaround times and other key performance metrics
    • Assist with billing accuracy and receivables coordination alongside the accounting team
    • Ensure compliance with dealership and manufacturer standards

Qualifications:

  • High School Diploma or equivalent required
  • Valid Driver’s License required
  • Previous experience in customer service, service advising, dealership operations, fleet coordination, or sales is preferred but not required
  • Strong communication and organizational skills
  • Ability to multitask and prioritize in a fast-paced environment
  • General automotive knowledge is a plus
  • Must be reliable, detail-oriented, and team-focused
