Your Responsibilities:
Fleet & Commercial Service Coordination
- Serve as the primary point of contact for fleet and commercial service customers
- Coordinate diagnostics, repair approvals, scheduling, and service updates to minimize vehicle downtime
- Prioritize commercial vehicle repairs to support business-critical timelines
- Communicate proactively with customers regarding repair status, maintenance recommendations, and estimated completion times
- Coordinate with technicians and the parts department to ensure efficient repair completion
- Ensure proper documentation of warranty claims, maintenance programs, billing, and repair approvals
Preventative Maintenance & Account Support
- Monitor vehicle mileage and maintenance schedules to proactively coordinate preventative maintenance services
- Communicate upcoming maintenance needs to customers to reduce unexpected breakdowns and improve uptime
- Review service history and usage trends to support effective fleet lifecycle management
- Conduct regular customer check-ins to ensure service satisfaction and operational efficiency
- Assist with onboarding new fleet service accounts
- Support department growth initiatives alongside the Fleet Manager
Administrative & Operational Support
- Maintain accurate fleet account records and service documentation
- Track service turnaround times and other key performance metrics
- Assist with billing accuracy and receivables coordination alongside the accounting team
- Ensure compliance with dealership and manufacturer standards
Qualifications:
- High School Diploma or equivalent required
- Valid Driver’s License required
- Previous experience in customer service, service advising, dealership operations, fleet coordination, or sales is preferred but not required
- Strong communication and organizational skills
- Ability to multitask and prioritize in a fast-paced environment
- General automotive knowledge is a plus
- Must be reliable, detail-oriented, and team-focused
