Job Summary 

The Operations & Planning Specialist provides operational leadership and strategic coordination to ensure work flows effectively across the team. It is responsible for designing and maintaining systems that support prioritization, planning, and execution. Acting as a key partner to the Team Director, this role exercises independent judgment to manage work intake, assess risks, recommend sequencing, and ensure alignment across stakeholders. The ideal candidate brings strong operational acumen, anticipates needs, and proactively drives clarity in a dynamic environment. 

Responsibilities 

Work Intake & Activity Tracking 

  • Evaluate and triage incoming requests, determining urgency, scope, and recommended prioritization 
  • Assess workload implications and advise the Director on sequencing and resource allocation 
  • Maintain visibility into active workstreams and independently surface risks, conflicts, or capacity concerns 
  • Make recommendations that influence team priorities and operational decisions 

Planning & Administrative Support 

  • Prepare for planning cycles by shaping agendas, identifying required inputs, and coordinating contributors 
  • Facilitate planning discussions and synthesize outcomes into actionable plans, ownership assignments, and timelines 
  • Ensure followthrough by establishing tracking mechanisms and escalating risks when commitments are at risk 
  • Develop and maintain the team’s operating cadence, including planning forums, review cycles, and communication touchpoints 

Coordination & Communication Support 

  • Serve as a strategic liaison across teams, ensuring alignment on shared work, dependencies, and timelines 
  • Establish communication practices that support consistent information flow and reduce ambiguity 
  • Represent the team in crossfunctional discussions, providing clarity on priorities, status, and risks 

Director Support & Liaison Assistance 

  • Partner closely with the Team Director to translate strategic priorities into operational plans 
  • Provide insight into workload distribution, emerging risks, and opportunities for efficiency 
  • Manage highvisibility commitments and ensure the Director is equipped with the right information at the right time 
  • Exercise discretion in handling sensitive information and making decisions on behalf of the Director when appropriate 

Process & Tools Support 

  • Design, implement, and refine processes, templates, and tools that improve clarity, efficiency, and scalability 
  • Identify operational gaps and propose solutions that enhance team effectiveness 
  • Lead adoption of systems that support work management, documentation, and communication 
  • Establish standards for documentation, workflows, and ways of working 

 

Requirements 

  • High integrity with sound judgment and discretion when handling confidential information  
  • Strong organizational skills with attention to detail and followthrough  
  • Proactive, dependable, and solutionoriented approach to work  
  • Clear, professional communicator able to work effectively with multiple stakeholders  
  • Comfortable supporting leaders and teams in a fastmoving environment 

Education and Experience 

  • Bachelor’s degree or equivalent practical experience preferred  
  • Proficiency in Microsoft Outlook, Word, PowerPoint, Excel, and Teams  
  • Experience supporting meetings, calendars, or multiparticipant coordination  
  • Familiarity with Copilot, Loop, Power Automate, or similar tools is a plus  
  • Professional presence with the ability to represent Acrisure appropriately 

Candidates should be comfortable with an on-site presence to support collaboration, team leadership, and cross-functional partnership.
