The Assistant Director of Patient Finance supports the success of the KCU Oral Health Center by ensuring excellence in patient financial services. This role oversees efficient patient check-in and check-out processes, maintains accurate patient financial records, and promotes positive patient interactions. The position also plays a key role in revenue cycle management, compliance, and financial reporting.Essential Duties and Responsibilities:
- Manage and supervise Patient Service Representatives, providing leadership, guidance, and performance oversight
- Perform account management functions, including reviewing and maintaining patient accounts and ensuring accurate patient registration within the Electronic Health Record (EHR)
- Oversee patient payment processes to ensure timely and efficient collection of current and future balances
- Collaborate with the collections team to guide staff in accurate and effective collection of overdue balances
- Maintain accuracy and integrity in all financial transactions, including updating account information, monitoring billing processes, and resolving discrepancies promptly
- Develop, modify, and run financial reports from the EHR; analyze data to identify trends and recommend improvements
- Stay current with changes in insurance regulations, reimbursement policies, and industry standards
- Prepare and present financial reports and analyses to leadership
- Ensure compliance with contractual obligations and monitor key performance metrics
- Assist with posting insurance payments and adjustments in the EHR system
- Serve as a liaison between patients, families, and clinical faculty/staff as needed
- Communicate effectively with patients regarding insurance plans, fees, benefits, and financial responsibilities related to treatment
- Support the development and maintenance of internal controls to ensure timely and accurate collections
- Assist the Director of Finance and Clinic Administration with financial and regulatory reviews, including audits, Department of Education reporting, governmental reviews, and accreditation requirements
- Ensure strict adherence to confidentiality regulations, including HIPAA and FERPA requirements
Qualifications:
- Associate’s degree or equivalent experience in a dental office setting required
- Minimum of three (3) years of experience in the dental industry
- Thorough knowledge of dental clinic operations, including patient registration, billing, and collections
- Proficiency with Electronic Health Record (EHR) systems and other relevant software applications
- Extensive knowledge of third-party billing requirements, Medicare/Medicaid regulations, and electronic claims processing
- Strong understanding of dental terminology
