The position of Business Operations Manager (BOM) for the College of Natural and Health Sciences (NHS) is described below. This is a 12-month exempt administrative position that will be available July 15, 2026. This is a full-time (1.0 FTE) position. Position Summary: The College seeks a highly skilled, collaborative, and detail-oriented Business Operations Manager (BOM) to provide leadership in financial, operational, and administrative functions within the College. The Business Operations Manager is a key leadership position in the University’s Administrative Service Center (ASC) model. The mission of the ASCs is to provide stakeholders with quality, timely and efficient services. ASCs achieve this mission by utilizing technology, cultivating the skills of staff, and building strong relationships with campus stakeholders. ASCs operate with the understanding that we live in a competitive environment and the goal is to ensure efficient and effective service. ASCs provide support to the University’s administrative divisions and academic colleges. ASCs reduce fragmentation in roles and emphasize specializations. ASC teams consist of business operations managers, human resources specialists, accounting specialists, and communications specialists. The Business Operations Manager has primary responsibility for key business functions, including strategic budget management. Business Operations Managers within academic colleges are also responsible for various types of academic data management including course schedules, faculty workload and compensation (FLAC), curriculum, and SharePoint structure and administration. Job Duties: Budget Management ( approx. 50% ): Understand all components of the college operating budget spanning twenty organizational units. Coordinate the preparation of annual operating budgets, forecasts, and multi-year projections for use within the college and as a component of university-wide financial reporting and modeling. Consult with deans and unit leaders to create budgets by line item and analyze in relationship to anticipated revenue and expenditures. Track future year’s commitments from a budgetary perspective. Analyze, evaluate, and manage internal and external funding sources/budgets including state, academic course fee, foundation gift/grant, indirect cost return, grant buyout return, self-supporting, and agency funds. Calculate indirect cost return for distribution to academic units and/or individual faculty. Calculate grant buyout return to distribution to academic units and/or individual faculty. Develop methods to track academic course fees, and allocation of indirect cost and/or grant buyout return within academic units. Establish use of activity codes when appropriate. Investigate, monitor, advise and recommend solutions for budgetary problems and procedures. Compile data to produce reports for division/college leadership regarding budget status. Prepare and submit budget revisions and corrections. Project expenses and financial feasibility for hiring proposals to assist leadership with faculty and staff position management. Request Banner Finance security access and approve Insight security access for faculty and staff. Request new and update existing approval queues for college funds. Complete year-end budget review and analysis. Assist with fiscal policy development within the division/college. Advise and coordinate with accounting specialists on college processes for purchasing and travel requests, use of appropriate account and program codes and requests for journal entries. Advise and coordinate with human resources specialists on faculty and staff position requests, salary analyses, labor distributions/redistributions, unit leader stipends, and adjunct and overload contracts. Course Schedule Management and Curriculum Support (approx. 15%) : Understand the university course scheduling processes and provide expertise regarding course schedule data. Manage course schedules. Develop timelines and procedures for course scheduling. Ensure accurate and compliant course data entry. Create, maintain, and modify the master course schedule. Analyze unit schedules to ensure compliance with state and university scheduling policies. Track and implement enrollment management recommendations and decisions. Track and update course override data to ensure the appropriate college, division, and department receive generated student credit hours. Evaluate and process requests to add individuals to Canvas shells in compliance with the University’s LMS policy. Compile scheduled and special reports for analysis of course scheduling data. Monitor requests for pre-assigned classroom spaces to ensure there is a pedagogical, technological, equipment, or disability-related requirement. Approve or acknowledge room scheduling requests for specialized areas in Gunter and Ross Halls. Coordinate with Office of Institutional Research Effectiveness (OIRE) to deploy course evaluation surveys to gather instructional feedback utilized for faculty and program evaluation. Understand the University’s curriculum approval process and provide expertise regarding the Curriculum Strategy app. Provide curriculum development support to faculty and serve on the College Curriculum Committee. Faculty Load and Compensation Management (approx. 20%) : · Create and generate workload spreadsheets for unit leaders to allocate faculty workload/overload and request adjunct payroll contracts. · Analyze and verify workload and overload data to ensure that units allocated represent university and college workload policies and formulas; consult with unit leaders and dean to resolve discrepancies. · Enter and track faculty workload data, overload payroll assignments, and adjunct payroll assignments in Banner faculty load and compensation module (FLAC). · Coordinate with human resources specialists to resolve FLAC processing discrepancies. · Consult with unit leaders to resolve discrepancies when faculty workload data and instructor assignments on course schedule do not match; update instructor assignment for courses in Banner as needed. · Analyze historical data and make recommendations to college leadership on faculty workloads. · Coordinate and track faculty overload approval process in conjunction with dean review/approval. · Verify faculty workload and overloads using historical enrollment data and make recommendations to college leadership regarding faculty workloads. Staff Supervision (approx. 15% ) : · Provide leadership and oversight to Accounting Post-Grant Award Specialists and Budget Data Specialist, fostering a collaborative and productive work environment. · Conduct regular one-on-one meetings with staff to provide guidance, professional development, and performance feedback. · Ensure staff responsibilities align with college needs for support of accounting, budget, grant buyout, purchasing, travel, and faculty workload activities. · Address personnel concerns, conduct evaluations, and maintain accountability for goals and expectations. Minimum Qualifications: Education: Bachelor’s degree required. Substitution: Additional appropriate experience will substitute for the degree requirement on a year-for-year basis. Experience: Minimum of five years of progressively responsible, related experience, ideally in higher education. Systems Technical Proficiency: Thorough knowledge of modern office methods and practices including administrative and fiscal management with demonstrated mastery of computer applications including Microsoft Office 365 . Organizational Policy Acumen: Experience working in complex environments, with the ability to interpret and apply policies and procedures effectively. Leadership Collaboration: Strong interpersonal and communication skills, demonstrated ability to supervise and develop staff, and a commitment to fostering an inclusive, collaborative work environment. Higher Education Experience: Experience working in higher education , including familiarity with university systems (e.g., Banner, Insight, Canvas).
