Special Education Secretary - Due Process

 

Department: Special Education Job Status: Full Time
FLSA Status: Non-Exempt Reports To: Special Education Director or Assistant Special Education Director

Job Type: Regular Positions Supervised: None
Work Schedule: 
195-day contract. Hours are typically 7:30-4:00 daily with a 30-minute lunch and two 15-minute breaks. However, the daily schedule may vary depending on the needs of the district.  

 

POSITION SUMMARY
Perform clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, interacting by telephone and in person with school personnel, students, parents and patrons, and other tasks and responsibilities applicable to the public school environment.

Essential Functions Statement(s)
 Use computers for various applications, such as database management or word processing.
 Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
 Compose letters or other correspondence using correct grammar, word usage, spelling, and punctuation.
 Create, maintain, and enter information into databases.
 Receive, process paperwork, and make appropriate computer entries for all new student referrals and re-evaluations. 
 Schedule referral evaluations and make arrangements for testing in other languages as required.
 Input data into school management software (E-School) for state reporting purposes.
 Gather information on students transitioning from state/local agencies for use in making appropriate school placements.
 Organize and track all EIS students.
 Schedule interpreters for special education students as required.
 File due process and annual review paperwork for all district special education students and update active files as needed.
 Assist with inactive file storage.
 Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material.
 Operate office equipment, such as fax machines, copiers, or phone systems.
 Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs.
 Maintain scheduling and event calendars.
 Complete forms in accordance with district, state, or federal guidelines.
 Schedule and confirm appointments for clients, customers, or supervisors.
 Make copies of correspondence or other printed material.
 Locate and attach appropriate files to incoming correspondence requiring replies.
 Operate electronic mail systems and coordinate the flow of information, internally or with other organizations.
 Compose, type, and distribute meeting notes, routine correspondence, or reports, such as presentations or expense, statistical, or monthly reports.
 Open, read, route, and distribute incoming mail or other materials and answer routine letters.
 Conduct searches to find needed information, using such sources as the Internet.
 Mail newsletters, promotional material, or other information.
 Learn to operate new office technologies as they are developed and implemented.
 Train and assist staff with computer usage.
 Prepare conference or event materials, such as flyers or invitations.
 Report suspected bullying to building principal or designee as required by Arkansas law and district policies.
 Report to the proper authorities any cases of suspected child maltreatment, neglect, or abuse.
 Adhere to all policies of the District.
 Perform other duties as assigned by the Special Education Director or Assistant Special Education Director.

SKILLS & ABILITIES

 

Education:
High School Graduate or General Education Degree (GED): Required 
Associate's Degree (two year college or technical school): Preferred 

 

 

Experience:
Previous secretarial experience preferred. 

 

 

Computer Skills:Shall be able to demonstrate an acceptable level of proficiency with computers and programs associated with the position.

 

Other Requirements:1. Successful completion of pre-employment background checks.
2. Appropriate personal and professional conduct at all times while around students and other staff members.
