Description
- Serve as the professional front desk presence, greeting and assisting visitors with courtesy and efficiency
- Answer and direct phone calls, emails, and in-person inquiries
- Organize and schedule appointments, meetings, and conference calls
- Book conference rooms and coordinate meeting logistics
- Order and maintain office supplies and inventory; anticipate and expedite supply needs
- Cover the reception desk as needed
- Receive, sort, and distribute mail and deliveries
- Manage shipping, packaging, and outgoing correspondence
- Support copying, production, binding, scanning, and preparation of marketing and presentation materials as needed
- Research and create presentations and reports
- Maintain and improve administrative systems and office processes
- Manage multiple projects while meeting deadlines
- Maintain confidentiality when handling sensitive information
- Provide general support to leadership and staff, including confirming reservations and coordinating logistics
Qualifications
- Proven experience as an Administrative Assistant or in a similar role
- Strong knowledge of office management systems and procedures
- Excellent time management skills with the ability to multitask and prioritize effectively
- High attention to detail and strong problem-solving skills
- Outstanding written and verbal communication skills
- Strong organizational and planning abilities
- Proficiency in Microsoft Office Suite
- Demonstrated professionalism, discretion, and sound judgment
