Job Description

Position Summary The Medical Office Associate will provide patient-related support services for the University of Illinois Psychiatry and Psychology Outpatient Center in the Department of Psychiatry and Behavioral Medicine, University of Illinois College of Medicine at Peoria. Duties Responsibilities Greet patients as they arrive and schedule follow-up appointments after they see their doctors. Enter, code, verify, store, and retrieve patient and insurance information into medical record system. Answer routine questions as needed. Inform new patients of clinic billing and payment procedures and guidelines. Monitor patient account balances and alert supervisor and clinician when balances exceed upper limits. Ensure that all clinic appointments are entered into the Epic system from other calendars, such as Outlook and psychologist resident clinic schedules. File loose paperwork. Accept patient payments, write receipts for patient services, maintain petty cash drawer, prepare daily receipt log and reconciliation report, close out cash drawer daily, and process credit card transactions. Accept, screen, and process Outpatient Center phone calls. Refer new patients to intake appointments; process patient appointments, cancellations, and no shows; reschedule appointments as needed; manage and follow-up on disposition of calls; complete reminder phone calls to patients. Type and transcribe documents in a confidential and sensitive manner, including notices to clients regarding appointments, reports, evaluations, and progress notes. Copy and scan documents and medical records to fulfill legal and disability requests and to complete patient charting; operate voice mail system, Epic reporting system, and word processing systems. Notify supervisor and Outpatient Center Director of ways to improve efficiency in reception area, notify supervisor of need for supplies and safety concerns, keep staff (that cover in the absence of the Medical Office Associate) informed of any changes in procedures or policies. Perform other related duties and participate in special projects as assigned.
