Salary Range: $74,735 - $90,043

Position Purpose

The Coordinator, Curriculum & Instruction Operations & Planning is responsible for ensuring the effective execution, coordination, and continuous improvement of operational systems across the Curriculum & Instruction Division. This role serves as a central driver of division-wide operations, supporting budget monitoring and pacing, procurement and contract management, vendor coordination, and the development and execution of Curriculum & Instruction Board agenda items. Working closely with the Deputy Superintendent, the Director of Curriculum & Instruction, and division leadership, the Coordinator ensures that priorities are aligned, timelines are met, and work across departments is executed with precision, urgency, and accountability.

The Coordinator acts as a key integrator across all Curriculum & Instruction departments, establishing systems and processes that enable efficient operations, clear communication, and consistent follow-through. The role is responsible for building and maintaining dashboards, tracking mechanisms, and project management structures that ensure visibility into progress, risks, and performance. Through strong problem-solving, coordination, and operational leadership, the Coordinator ensures the division runs effectively and that strategic priorities are translated into timely, high-quality execution.

 

ESSENTIAL JOB FUNCTIONS

 

  • Coordinates and drives execution of division priorities across departments through influence and collaboration, ensuring alignment, accountability, and timely follow-through without direct supervisory authority.
  • Supports the coordination and execution of division-wide operations across Curriculum & Instruction, ensuring priorities are aligned, timelines are met, and work across departments is implemented with precision and accountability
  • Monitors and manages budget pacing and operational timelines across the division, ensuring alignment to priorities, appropriate resource allocation, and timely execution of key initiatives.
  • Oversees procurement processes, contract monitoring, and vendor coordination for Curriculum & Instruction, ensuring compliance with district requirements and timely execution of all purchasing activities.
  • Coordinates the development and execution of Curriculum & Instruction Board agenda items, ensuring cross-department alignment, timely submission of materials, and high-quality deliverables.
  • In close collaboration with the Director of Curriculum & Instruction, serves as a central point of coordination across all Curriculum & Instruction departments, ensuring clear communication, alignment of workstreams, and consistent follow-through on division priorities.
  • Develops and manages project plans, timelines, deliverables, and status tracking for major initiatives, ensuring visibility into progress, risks, and next steps.
  • Builds and maintains dashboards, tracking systems, and reporting tools to monitor operational performance, project status, and division-wide priorities in real time.
  • Analyzes operational data, workflows, and systems to identify inefficiencies, gaps, and opportunities for improvement, and implements solutions to strengthen division operations.
  • Establishes and maintains systems and processes that improve coordination, communication, and execution across departments within Curriculum & Instruction.
  • Serves as a problem-solving resource for complex operational challenges related to logistics, procurement, systems, timelines, and cross-functional coordination.
  • Prepares reports, summaries, and briefings for the Deputy Superintendent, Director, and division leadership to support decision-making and strategic planning.
  • Supports implementation of operational tools, systems, and processes to ensure consistency, efficiency, and scalability of division work.
  • Collects, organizes, and synthesizes data from multiple sources to support analysis, reporting, and continuous improvement efforts.
  • Demonstrates flexibility in scheduling and availability, including extended or adjusted work hours during peak operational periods, Board agenda item cycles, procurement timelines, and critical deadlines, to ensure timely and high-quality execution of responsibilities.

  • Knowledge of project management and operational planning practices, including the development of timelines, deliverables, and systems for tracking execution.
  • Knowledge of data systems, dashboards, and reporting tools used to monitor operational performance, project progress, and division priorities in real time.
  • Knowledge of federal, state, and district requirements related to education operations, compliance, and reporting.
  • Skill in managing multiple, high-priority initiatives simultaneously, ensuring alignment, timely execution, and high-quality outcomes across departments.
  • Skill in analyzing complex operational data, identifying trends and gaps, and developing actionable recommendations to improve performance and efficiency.
  • Skill in building and maintaining tracking systems, dashboards, and tools that provide visibility into progress, risks, and next steps.
  • Skill in coordinating across teams and departments to ensure alignment, clear communication, and consistent follow-through on division priorities.
  • Skill in resolving complex operational challenges related to logistics, procurement, timelines, and cross-functional execution.
  • Skill in organizing and managing detailed processes, including reconciliation of data, review of documentation, and ensuring accuracy across systems.
  • Skill in preparing high-quality reports, briefings, and written communications for senior leadership, including summaries, Board materials, and operational updates.
  • Skill in using software applications, including spreadsheets, databases, and project management tools, to support analysis, tracking, and reporting.
  • Skill in clear and effective communication, both oral and written, with the ability to engage and support stakeholders across multiple levels of the organization.
  • Ability to lead through influence and coordinate work across departments without direct authority, ensuring alignment, accountability, and consistent execution of division priorities.

Travel Requirements

 

  • Travels to school district buildings and professional meetings as required.

  • Tools/Equipment Used: Standard office equipment, including computer and peripherals.
  • Posture: Prolonged sitting; occasional stooping, squatting, kneeling, bending, pushing/pulling, and twisting.

Minimum Required Qualifications

 

  • Education:
    • Bachelor's degree from accredited college or university required.
    • Degree in Business Administration, Operations Management, Analytics, or related field preferred.
  • Certification/License:
    • None.
  • Experience:
    • Minimum of 2 years of progressively responsible experience in operations, project management, analytics, procurement, or a related business function, with demonstrated ability to manage timelines, coordinate cross-functional work, and ensure execution of key initiatives.
