Position: College and Career Readiness Secretary
Supervisor:Director of College and Career Readiness
General Job Description: The CCR Secretary provides high-level administrative support to the Director of College and Career Readiness. This role is responsible for the daily operations of the CCR office (CATE Center) and serves as the primary administrative point of contact for the District and Public.

Additional Duties and Responsibilities:
- Ensure grant documentation, accounts, reports, and State/Federal compliance requirements are accurate and submitted on time.
- Assist with management of grant funds, including Perkins, Next Gen, Redistribution, CTE SEG, Dual Credit, and other CCR-related funding sources.
- Process purchasing requests, orders, invoices, expenditure tracking, and RFR documentation.
- Maintain organized records for operational and grant-funded accounts.
- Assist with the management and maintenance of the SchoolLinks CCR platform in collaboration with the Director of CCR and Workforce Community Liaison.
- Facilitate communication between students, staff, parents, faculty, district departments, and community partners.
- Serve as the primary office contact for the Tech Center and assist with daily office operations.
- Help to coordinate meetings, calendars, schedules, events, student transportation communication, travel requests, and professional development activities.
- Support CATE and District CTE teachers with purchasing, classroom needs, and CCR-related activities.
- Assist with student forms, parking passes, visitor management, and communication with designated High School administration regarding student issues when necessary.
- Help maintain inventory, office supplies, shared equipment, meeting spaces, and campus calendars.
- Support safety and security procedures for the Tech Center.
- Prepare correspondence, reports, spreadsheets, and other office documents as requested.
- Monitor deadlines and assist in ensuring the timely completion of reports and required documentation.
- Maintain confidentiality regarding student, personnel, and district information.
- Demonstrate professionalism, organization, flexibility, initiative, and the ability to prioritize multiple tasks in a fast-paced environment.
- Exercise sound judgment and problem-solving skills in supporting daily Tech Center operations.
- Maintain positive and professional working relationships with students, parents, staff, and community members.
- Provide professional customer service and represent the Tech Center in a positive and welcoming manner.
- Demonstrate the ability to learn and adapt to new technologies and systems that support CCR programs and operations.
- Serve as operational support for the Tech Center in the Director's absence.
Qualifications:
- High School diploma or GED
- Minimum 5 years of advanced independent clerical work in the public or private sector.
- Proficient in Excel, Word and adopting new computer systems/platforms.
Physical Requirements: Ability to perform the job and access the environment for which you are hired. The following may be required: Sitting, standing, lifting, moving about the office, carrying (up to 50 pounds), reaching, squatting, kneeling, prolonged typing, physical ability to type on a keyboard terminal, and moving light furniture.
Equipment/Technology Handled: Computer, calculator, copy machine, phone system and other office technology.
Work Environment: Must be able to work within various degrees of noise, temperature, and air quality. Interruptions of work are routine. Flexibility and patience are required. Must be self-motivated and able to complete job assignments without direct supervision.
